JOB SUMMARY

Provide marketing and administrative support for the branch office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

To perform this job successfully, an individual must be able to satisfactorily perform each of the essential duties.

• Browse clients’ websites and other pertinent sources/publications for screening RFIs and RFPs and scoping them out for assessing the fit.

• Provide daily briefings to Senior Vice President (Regional Leader), and coordinate with appropriate discipline leaders as instructed by the Senior Vice President.

• Prepare proposals, qualification statements, corporate brochures, presentation materials and newsletters.

• Greet staff and visitors, handle all incoming calls and act as the main contact for building management and various vendors.

• Answer phones, type correspondence and Excel spreadsheets, fax, file, copy, proofread, and send out mail/Fedex.

• Maintain client database and manage calendars.

• Schedule client meetings.

• Update registration/qualifications with state and city agencies as needed.

• Attend industry/network events as appropriate and assigned by management.

• Act in the capacity of Executive Assistant to Senior Vice President (Regional Leader).

• Liaison with corporate office for operational activities of Branch office.

Perform other duties as may be required.

QUALIFICATION REQUIREMENTS:

• Knowledge of SF254/255 and SF330 forms.

• Engineering/architectural experience preferred.

Strong computer skills in MS office required-- including Word, Excel, Power Point and Outlook. Experience using Adobe, Photoshop, InDesign and other graphics programs.

• Strong interpersonal, organizational communication and computer skills.

• Excellent work ethics.

• Energetic and motivated self-starter with the ability to work well independently.

EDUCATION and/or EXPERIENCE:

Bachelor’s degree in Marketing or English.

3 – 4 years of experience with proposal preparation, qualification statements, corporate brochures, presentation materials and newsletters.
