Job Description:

We are seeking an Administrative Assistant II for a very important client.

Supports one or more mid to senior-level managers. Works in a diverse and more complex environment; and includes some customer and executive contact. Performs more complex administrative activities including managing projects, composing letters and reports, preparing/editing presentations, and recommending or making purchase decisions. Possesses strong written and verbal communication skills. Duties may include more complex administrative activities: managing projects, managing budget and payroll, composing letters and reports, developing newsletters, preparing presentations, recommending or making purchase decisions.

Top Daily Responsibilities:

- Maintains workflow processes

- Implements accreditation criteria

- Maintain, request and process documentation

- Record management from clients in a timely manner

- Collects and compiles data

- Support department meetings

- Assists manager in tracking expense to remain within budget

- Supports implementation of regional initiatives and activities.

- Facilitates activity set-up including room set-up, audio-visual equipment, faculty communications, etc.

Top 3-5 Daily Responsibilities:

1. Maintains day to day administrative processes including, documentation and record management.

2. Establishes and/or maintains workflow processes that are compliant with accreditation criteria and any legal mandates.

3. Collects and compiles data including quality improvement information to support educational activities, annual reports and on-site surveys.

4. Assists manager in tracking and forecasting CME expenses to ensure expenditures remain within budget.

5. Interpret and implement accreditation criteria, including preparing for the accreditation.

Requirement:

The ideal candidate will possess the following qualifications:

Bachelors' degree

Has intermediate to advanced computer skills including: word processing, spreadsheet, and basic presentation or database applications; and may train others.

Top (3) Required Skills Candidate Should Have:

- Experience with working with database management system and utilize software applications: Microsoft Office 365 Suite, databases, internet, emails

- Experience planning and coordinating activities in a high volume environment simultaneously - Exceptional customer service skills especially (ideally with physician clients)

Additional Skills Preferred (Not Required)

- Ability to work independently with minimal direction and within a team

- Ability to multi-task and prioritize

- Managing multiple inboxes

- Experience in Continuing Medical Education

- Development of evaluations/feedback tools

- Ability to analyze data

- Understand and application of adult learning theory and concepts
