We are looking for an outgoing, detail oriented, and determined Executive Assistant to join our company and support our growth. This position will be based at our office, but a times will require you to work on the road or from the comfort of your home.


Draft formal documents and other correspondences

Manage phone calls, address questions, and messages courteously

Reply to emails, manage calendars, appointments and entering data

Provide customers precise information regarding functionality, features and benefits of vehicles in current inventory

Maintain an up-to-date customer database to encourage repeat business

Create reports and summary briefs

Organize all paperwork in deals(dates, buyer's and seller's information, signatures, vehicle descriptions, etc.)

Prepare tax and title documents in accordance with legal requirements

Submit all legal transfer documents to the DMV on time

Process registration and issue license plate for vehicles

Enter vehicle purchases to inventory

Maintain vehicle inventory and location accurately

Record the sale, profit, and expenses on all sold units

Set up receivable and payable documentation, accounting and sales logging

Locate pricing for auto and collision parts

Perform other various duties as assigned


4 year Bachelor's Degree preferred

or 2-3 years previous experience in a franchise or independent auto dealership

or 3-5 years of experience in other various automotive industries

Upholds the company's non-disclosure and confidentiality policies and agreements

Ability to handle multiple duties simultaneously

Criteria to prioritize tasks accordingly with deadlines

Strong communication and writing skills

High proficiency in Microsoft Office

Attention to detail and ability to work in a fast-paced enviroment

Excellent Customer Relation Managment

Proficiency with Public Relations

Telephone etiquette

Must be able to pass clean background check and must be willing to submit to and pass a pre-employment drug test and then agree to additional random drug screening throughout their employment with the company to help ensure a drug-free environment

Valid Driver's License. A current driving record report will be requested

Fluent in English

Must be a U.S. citizen or legally authorized to work in the United States
