Summary Description:

Provide high level support to management staff with administrative responsibilities. The Administrative Assistant will be responsible for telephone calls, maintaining accurate, detailed and easy-to-find records of all correspondence, scheduling meetings, keeping managers’ calendars up-to-date, making complex travel arrangements, and meeting preparation. This is a highly visible position that is responsible for the creation and production of marketing materials, data base management, copywriting, social networks, and any and all duties that come through the department.

Specific Responsibilities:

Manage and maintain executives’ schedules, coordinate and set up meetings .

Work with Marketing and Communications teams to design marketing collateral to support launches and updates of the multiple Clayco projects .

Support leadership team with up-to-date and precise presentation files, including graphs, charts, spread sheets, memos, using appropriate tools and meeting collateral.

Organize, coordinate and produce qualifications and proposal responses as well as presentations that meet the project specific requirements .

Prepare reports, memos, letters, spreadsheets, etc. as needed.

Greet visitors and determine whether they should be given access to specific individuals.

Handle confidential material and information

Coordinate travel and transportation .

QUALIFICATIONS :

High School Diploma / GED required, associates degree is preferred.

Extensive time management, coordination and communication skills, given the responsibilities of the team.

High level of interpersonal skills to include, working with executives handling confidential situations, strong attention to detail and accuracy, maintaining continual composure, tact and diplomacy, and demonstrated excellence in customer service orientation and listening skills.

Advanced Microsoft software skills including Word, Excel and PowerPoint

Energetic, self-starter.

1-3 years of experience.
