About the Role

This position is to provide high-level professional support to the Executive Director and Managing Director on a 12 month fixed term contract.

Responsibilities of this role include (but are not limited to):

Managing and facilitating the scheduling of the Executive Director and Managing Director diaries and appointments.

Managing the correspondence between both internal and external stakeholders.

High level organisational and administrative support to the Global Clients and Marketing Brisbane team members

Organising of business travel both domestic and international

Setting up meeting rooms, equipment and ordering catering

Keeping all records on the CRM up to date and accurate. Document control

On boarding of new staff members

Workflow management for the team

Preparing Board papers, minute taking and distribution

Co-ordination and management of leadership meetings, minutes and distribution

Office management

Credit card reconciliation

Attending business development events such as boardroom dinners

Assisting in areas including office management, event coordination, HR administration, marketing

About You

You will be an experienced Executive Assistant that truly loves taking charge and being the right hand man in a support position. You are comfortable in a fast paced, ever changing environment that requires you to constantly manage all the moving pieces.

In order for you to be successful for this role you will have the following:

Minimum 5 years Executive Management support experience.

Previous experience in the financial services or professional services environment is preferred

Willingness, ability and preference for a fast paced environment.

Strong written and verbal communication.

High level attention to detail and advanced time management.

Demonstrated experience managing budgets/costs.

Experience in management of extensive domestic and international travel.

Demonstrated ability to foster internal and external relationships.

Advanced skills in Microsoft Office suite (Excel, Word and PowerPoint).
