Tradeweb is looking to find a receptionist for their Jersey City office.

Description of the Position:

This person will provide main reception desk coverage and provide general office support with a variety of administrative activities and related tasks. They will be responsible for greeting visitors, answering incoming calls, directing calls to appropriate associates, processing and distributing incoming and outgoing mail, as well as additional administrative duties.


Answer telephones and directs the caller to the appropriate associate.

Monitor main and freight elevators.

Enter guests into LobbyWorks system for the building security.

Greet visitors; present employment application if present for an interview.

Receive, sort and distribute incoming mail.

Receive all deliveries and coordinate the pick-up and delivery of express and regular mail services (FedEx, UPS, etc.).

Contact property management for facility-related maintenance problems. Follow up with building management regarding un-resolved issues.

Schedule conference rooms and order catering as needed.

Prepare bank deposit and share rotation of bank runs.

Type memos, correspondence, reports, and other documents as requested.

Assist with data entry on various spreadsheets.

Schedule and organize activities such as meetings, travel, and department activities for Managing Director and/or other managers as requested.

Develop, maintain and update filing system, as requested. Ensure accuracy and confidentiality. Retrieve information from files when needed.

Other related administrative duties such as binding, photocopying, faxing, filing and collating.

Other duties as requested or assigned.

Work independently and within a team on special, non-recurring and ongoing projects.

Handle confidential and non-routine information with high level of discretion.

Assist with replenishing coffee/tea and related condiment supplies, breakfast/snack items, if necessary.

Assist with office supplies/beverage inventory/orders, if necessary.


Excellent communication (in person and over the phone) and organizational skills.

Knowledge of MS Office (Word, Excel, PowerPoint, Outlook).

Close attention to detail.

Ability to work independently on assigned tasks as well as to accept direction on given assignments.

Ability to resolve problems quickly and address internal customers’ needs

High School Diploma or equivalent; Bachelor’s degree preferred.
