Position Summary
Our client is seeking an Administrative Assistant to join their Research team. As an Administrative Assistant, you will provide support to our team by handling various administrative tasks, such as ordering and replenishing consumables via SAP, liaising with suppliers for system updates, processing invoices in SAP, coordinating domestic and international material shipments, arrange and coordinating business travels, coordinate meetings, and aiding in building maintenance and library organization.
Shift
This position operates on an 8-hour first shift, from 7:30 AM to 3:30 PM, five days per week, and requires travel between two separate locations approximately 30 miles apart.
Main Responsibilities and Duties:
· Manage Inventory, ordering, purchasing, and restocking consumables using SAP, ensuring the availability of necessary supplies for the Research team's operations.
· Liaise with suppliers to update their information in our system, facilitating smooth communication and transactions.
· Process invoices within SAP, maintaining accurate financial records and supporting efficient financial management.
· Coordinate both domestic and international shipments of materials, ensuring timely delivery and proper documentation.
· Organize and coordinate business travels for team members, ensuring smooth travel logistics and accommodations.
· Assist in coordinating meetings, scheduling appointments, and ensuring all necessary resources are available for productive discussions.
· Contribute to building maintenance by assisting in upkeep tasks, and aid in organizing technical documentation for easy accessibility of research materials.
Required Skills:
· 3+ years of administrative or HR support experience preferred.
