Position Commercial & Admin Officer

Qualification

BCom/MCom/ICWA or CA Intermediate. MUST have own 2 wheeler.

Location: Narhe Sinhagad Rd

Gender Male/Female

CTC As per Industry Norms.

Experience

Min. 5+ years experience with the above

Industry Manufacturer

Job Responsibilities: 1. Control all costs as per budget. Prevent wastage and leakages.

2. Manage inventory, receivables and payables

3. Ensure all government compliances incl. Excise, VAT/CST, ROC, etc. with consultants

4. Generate actionable, timely & accurate reports from systems incl. ERP and CRM

5. Set up and monitor systems/SOPs

6. Maintain server backups

7. General office administration, filing, coordination

Skill 1. Strong accounting and costing.

2. Hands on inventory/materials management.

3. All government compliances incl. Excise, VAT, Income

Tax, etc.

4. Organizational skills – the candidate MUST be well

organized, methodical and a logical thinker.

5. Systems oriented: Familiarity with ERP, CRM & paper

based systems for a manufacturing organization.

Example Tasks

1. Control all costs as per budget. Prevent wastage and leakages.

2. Manage inventory, receivables and payables

3. Ensure all government compliances incl. Excise, VAT/CST, ROC, etc. with consultants

Tasks

1. ERP

a. Complete ERP setup as per our requirements e.g.

i. Display HDFC Bank a/c details on invoices

ii. Attach drawings to Item Codes

iii. Set up costing and run cost update processes regularly

b. Generate daily, weekly, monthly and quarterly reports from ERP

c. Generate monthly P&L, BS, stock valuation, cash flow reports

d. Close months – accounting and inventory – in ERP

e. Solve everyone’s ERP and system problems by coordinating with AERP

f. Backup server, ERP, CRM

2. Inventory

a. Ensure the physical inventory always matches system inventory for all items

b. Raise Pos and negotiate with vendors

c. Ensure correct inventory conversion ratios for all items

d. Reconcile inventory in all stores including vendors

e. Conduct surprise inventory checks at all stores

f. Reconcile inventory movements with production, work orders, rejection

g. Generate inventory reports

h. Inspect inward/outward books and bin cards to ensure correct & timely entries

3. Cost control

a. Set up correct costing of each item in ERP

b. Negotiate with vendors – all materials and services

c. Setup ERP to analyze costs correctly by working with AERP

d. Achieve cost cutting targets without compromising quality or deliveries

e. Setup budgets in ERP and track actual costs v/s budgets and variances

4. Systems, MIS & General Admin

a. Prepare operational & financial reports as required by management

b. Follow up with all team members for assigned tasks and reports

c. Prepare minutes of meetings and enter them into Producteev/task management systems

d. Set up systems as required by management

e. Management filing and general office administration

f. Prepare and keep updated Sukrut Operations Manual for all function in the company incl. ERP, CRM and other processes

5. Govt Compliances

a. Ensure all govt compliances before due dates including

i. Excise

ii. VAT

iii. Income Tax & TDS

iv. Profession Tax

v. Imports

vi. Exports

vii.

b. Ensure prompt replies to any notices/queries

6. HR

a. Coordinate with HR agents for recruitment

b. Calculate KPI incentives as required by management

c. Maintain orientation and training manuals for all positions

7. Sales Coordination & CRM

a. Supervise Sales & dispatch coordination

b. Supervise correct entries in CRM

c. Supervise sales campaigns with CRM
