Responsibilities:

Reporting to the Manager, Proposal Services, the Proposal Production Analyst will be responsible for formatting large, complex documents in accordance with strict, government-mandated requirements, and for coordinating all aspects of proposal production, from building templates to assembling and delivering final products. We are looking for a desktop publishing expert with significant experience using Microsoft Word and Adobe Acrobat and enforcing brand standards, departmental best practices, and style sheet compliance. This position requires schedule flexibility and periodically requires night and weekend hours.

The Proposal Production Analyst will be responsible for:

Coordinating Production Activities

Reviewing project specifications to capture formatting and production requirements.

Developing and implementing plans for printing, assembly, and delivery of business development documents, including coordinating supply orders.

Collaborating with Creative Services team to design tabs and covers for business development documents, including coordination of approval processes.

Working with internal stakeholders to produce hardcopy draft documents for review processes.

Facilitating and supporting redaction process.

Performing Desktop Publishing Activities

Creating and maintaining templates and style sheets related to business development documents, especially proposals, through customized Microsoft Word styles.

Applying template formatting accurately and consistently in all project documents through regular monitoring, cyclical reviews, and final production.

Creating electronic copies of proposal documents for submission, including redacted versions.

Supporting enforcement of company image, branding, and document standards.

Administering Graphics Processes

Identifying opportunities to add and improve graphics in business development documents.

Monitor and facilitate graphics request process through SharePoint.

Creating and updating graphics, both individually and in collaboration with graphic designers; ensuring that redesigned graphics are inserted into documents appropriately.

Maintaining graphics repository, including ensuring appropriate metadata entry and version controls.

Qualifications

Bachelor’s Degree or equivalent work experience.

At least 3 years of experience formatting/desktop publishing complex business documents, preferably state or federal proposals.

At least 2 years of experience coordinating projects across multiple teams.

Expert capabilities in Windows OS, Microsoft Office, and Adobe Creative Suite, including Word, PowerPoint, Excel, Visio, and Acrobat. Specifically, expert-level abilities in Microsoft Office’s Page Layout and Styles features.

Familiarity with Microsoft SharePoint and Adobe Illustrator, InDesign, and Photoshop preferred.

Exceptional attention to detail to ensure style and formatting consistencies.

Demonstrated ability to prioritize tasks to complete multiple, occasionally competing, projects.

Ability to conceptualize and develop graphics for business development documents.

Willingness to work nights and weekends when needed to meet deadlines
