Proactively manage project progress against key milestones and provide regular status reports including hours utilized. Manage expectations from different departments and communications flow.
Develop and maintain a list of local and international production vendors that will be able to deliver a high quality product in the production of all communication including TV, Billboards, Radio, Print, Photography, Brochures and all other collateral.
Develop a weekly WIP status report and chair a weekly meeting with the Heads of Creative, Advertising, Digital, PR, Strategic Marketing, Strategic Alliances and Promotions and Events to review all jobs.
Facilitate the production and distribution of all internal and external communication.
Engage with all internal teams/departments and assist with brief development and other requirements so that there is a clear understanding of the expected outcomes by all stakeholders.
Ensure that all vendor production invoices are in line with approved budgets and estimates.
Regularly review the vendors and the quality and cost of production.
Ensure that all internal and external approval processes and procedures are adhered to for all content that is being produced.
Develop a briefing system and meet with all clients/departments to ensure there is a clear and concise understanding of the required input by the clients.
Schedule and coordinate meetings and appointments. Handle communication with other departments and external partners and vendors as needed.
Provide general administrative support and serve as the departmental point person for all support functions.
High school diploma is a minimum. Bachelors Degree with units in marketing, advertising and communication is an asset
Minimum of 2 years experience working as an account supervisor or administrative assistant in a full service agency working on a broad range of clients and creative/production for TV, Print, Radio and collateral
Thorough understanding of the creative development process, creation of finished art, production processes (static and video/film) and other functions in an agency or hospitality industry
Understanding of project management and PM programs
Excellent organizational and communication skills
Ability to create concise briefs and being able to clearly convey that to the creative team via written briefs that contain clear and concise propositions
Able to work in a fast-paced, growth oriented organization
Ability to organize, schedule and manage the development of a large body of work from brief, to creation to production and ultimately the distribution of the communication externally and internally
Proficiency in both spoken and written English is a must
