PRIMARY RESPONSIBILITIES

Anticipate and prepare materials needed for conferences, correspondence, and managerial appointments.

Organize and facilitate staff meetings and workshops including the taking and distribution of minutes.

Organize functions, travel, and events in accordance with budgetary constraints and company policies.

Resolve administrative problems by organizing the preparation of reports, analyzing information, and identifying solutions in accordance with company policies.

Utilize Microsoft office to prepare reports, letters and general correspondence, spreadsheets and PowerPoint presentations.

Manage outlook calendars and keep supervisors apprised of upcoming tasks and events.

Minutes taken accurately and concisely while capturing the critical detail ensuring all discussion topics are reflected.

Coordinate the distribution of reports and documentation while maintaining a follow up system as required.

Develop itineraries; liaise with relevant personnel, and book venues while making sure all financial transactions are accounted for.

Maintain accurate and up to date records and files for all management-required projects.

Ensures administrative tasks are reduced to a minimum while searching for more efficiency in the team administrative process.

Maintain proficiency in Microsoft outlook to assist with organization and reporting of company data.

Required Experience:

Bachelors degree and or equivalent years of work experience, plus one year of direct experience as an executive assistant.

Direct/indirect experience in the hospitality industry a plus

Experience working in fast-paced environment

Strong organizational skills

Excellent customer service skills

Proficient in office technology used in the industry

Operate within tight deadlines

Organize and conduct auditions

Work well unsupervised

Proficient in Microsoft Office, Excel, Word and Power Point

Working knowledge of local industry practices, policies and procedure

Proficiency in both spoken and written English

Understanding of the local languages.

All other language will be a plus
