Job Information:

-The Office Admin reports to the owners and Asst. Manager and primarily is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency in high paced-traffic environment

-We are seeking a vibrant, mature and reliable Office Admin with 3+ years of EXPERIENCE within the Retail Industry or closely related industry (ex. rehab clinic, spa, salon, )

-This is a FULL TIME position with 42.5h workweeks, no part time opportunities. The regular shift is from 10am -6:30pm (Mon-Fri)

-The OA must be able to work in a fast pace and energetic work environment. An ideal candidate must possess excellent organizational, business and people skills and outstanding phone manners and be able to multi-task and work until the job is done


COMPUTER SKILLS: Must be proficient and have full experience in using QuickBooks/Sage Accounting Software & Microsoft Office for: (Invoicing, Issuing Quotes, Billing, ACCT-REC/PAY)

Must have experience managing and preparing payroll using the above software from another company

MANAGE INVENTORY: Order supplies and inventory of supplies as needed

CONTRACT DATA ENTRY: Responsible to sign off on daily data entry for all client contracts when completed, provide audits for all staff contracts inputting into sales database

Provide Owners studio statistics (scheduling, sales, renewals,, client history)

ACC/PAY & DELINQUENT/COLLECTIONS: Responsible for handling all Accts, . Communicate info between staff, moneris merchants, vendors and mgmt.

Punctual track record, Problem solver, have excellent English verbal and written communication skills

PEOPLE SKILLS: Must have amazing people's skills and can get along with the any personality type of clients

Enjoy working independently (i.e. without being supervised)

NEW CUSTOMER REQUESTS: Responding to incoming emails and calls regarding all services activities such as setting up service agreement documents, booking/hiring

HIRING & STAFF REQUESTS: Assist in recruiting activities as needed. Such as creating job postings, openings on various job boards, conducting email, phone or in-person interviews sharing relevant information and documents to potential staff upon hiring re payroll and updating staff list to reflect new hires. Gathering feedback from staff and clients on a quarterly basis and providing to owners and management

Having College/University Education or previous office coordination/management or Administrative is a benefit!


-Starting at an hourly rate of $18 with a 4 year Increase Pay Band

-2 week Paid Vacation p/year (taken according to seniority/time)

-3 Sick Days Per Year (may not be accumulated)
