POSITION SUMMARY

Reporting to the regional Manager of IntercontinentalCharity, the IntercontinentalCharity Volunteer Assistant assists in the management and administration of the IntercontinentalCharity Volunteer Program by performing a variety of administrative and support functions related to the recruitment, orientation, onboarding, scheduling, and retention of volunteers and docents.

ESSENTIAL FUNCTIONS

Schedules charity donations from different donors around the world..

Schedules and help the organisation to receive donations in cash and gifts from donors.

Assists in the recruitment process for new paid volunteers. Prepares orientation and onboarding materials. Makes follow-up telephone and email contacts to describe volunteer opportunities. Schedules mandatory orientation sessions. Schedules new volunteers for any training provided by other departments.

Updates, maintains, and oversees the web-based donor database, . Performs a variety of office support functions including processing daily mail, establishing and maintaining files, and answering telephone and email messages.Composes departmental correspondence and assists with specialized mailings.

Establishes and maintains ongoing communication with the members of all volunteer groups to answer questions, disseminate appropriate information, clarify assignments, and ensure a positive relationship with donors

Works with the Manager of IntercontinentalCharity and appropriate volunteers or docents to plan and implement meetings, trainings, and special events.

Maintains an active role in representing the IntercontinentalCharity department to other museum departments ensuring that volunteer staffing is provided as needed.

OTHER FUNCTIONS

Performs other related duties as assigned.

MINIMUM QUALIFICATIONS

Good knowledge of general office practices, procedures, and equipment

Solid computer skills

Excellent written and oral communication skills

Outstanding planning, organizational, and follow-through skills

Self-starter with proven ability to manage and independently prioritize multiple tasks while ensuring timely high-quality outcomes

Ability to analyze situations, clarify priorities, problem-solve, recommend, and implement appropriate solutions

Ability to satisfy deadlines with a high level of initiative, accuracy and attention to detail

Ability to display good judgment and exercise tact and diplomacy at all times and to demonstrate exceptional flexibility with a strong customer-service focus

Ability to work well with volunteers of all ages and of diverse backgrounds and skills, effectively and factually communicating information to volunteers and visitors, and representing the museum, its activities and programs, in a positive, proactive manner

Must be available to work on one weekend day

WORKING CONDITIONS

Work from home when needed. Weekend hours required.

COMPENSATION

$20.34 - 24.42/hour with excellent benefits package*
