PRIMARY RESPONSIBILITIES:

To provide a courteous, professional, efficient and flexible service at all times

To perform all duties and tasks in the assigned place of work based on the duty roster and standards set

Ensures confidentiality of restricted and sensitive information

Provides and ensures quality support to immediate superior. Relieves management of administrative matters and routine day- to-day clerical activities.

Provides necessary administrative support to the department and ensures that the office is operated in a professional manner

Ensures confidentiality of restricted and sensitive information

Works as a reliable team member and assists immediate superior and the department in completing projects and assignments

To be entirely flexible and adapt to rotate with different divisions of the Hotel / Company

Maintains effective communication with the team and with other departments

To maintain good rapport and professional relationships with the staff in the place of work and other departments / divisions

To be fully conversant with all services and facilities offered by the Hotel

To handle guest inquiries / complaints in a courteous and efficient manner and assure follow-up with guests

Compile, collate, and analyze data as required

Assists immediate superior in developing and accomplishing reports and any studies or measurement tools

Performs general administrative duties, as required

Maintains a secure, effective and up-to-date filing system that is easily accessible, both manually and electronically

Manages the flow of correspondence and communication in the office, ensures that telephone and written communications are accurate and thorough and those that require immediate attention are prioritized

Anticipates and assesses issues, risks or opportunities within the area of responsibility; suggests effective and creative solutions to immediate superior and applies them when approved

To ensure that the place of work and surrounding areas are kept clean, safe, secure and organized at all times

Adheres to all company policies and procedures

To report for duty punctually adhering to set procedures for attendance and timekeeping

To maintain high standards of personal appearance including uniform, grooming and hygiene at all times

Participate in the Company’s Corporate Social Responsibility program

Reduces waste materials and supplies by adhering to the Company’s guideline on re-using and recycling

Conserves water and energy when possible

Reports accidents, injuries, unsafe work conditions and/or security issues to immediate superior

Performs other reasonable job duties assigned by immediate superior from time to time

Translation from English - Japanese and vice versa (written or spoken)

Qualifications

2 or 4-year degree holder of any related course or equivalent professional training

3-5 years of experience in an administrative / Executive Administrative role

Fluent in written and spoken English, Japanese and Filipino

JLPT N1 passer for Non- Japanese National Only & Business Japanese language ability

Can do oral translation in English and Japanese during meetings

Can translate business documents from English to Japanese, and vice versa

Computer literate in MS Office (proficient in Word, Excel, and PowerPoint)

Opera (PMS) exposure and or experience, preferred

Able to type at 45 wpm with minimal errors

Takes dictation

Time management

Organized

Excellent interpersonal skills

Multi-tasking Skills
