Conference Services Coordinator -for global law firm in Washington, DC.

This position is responsible for providing the highest level of customer service regarding conference center services. This includes conference room scheduling, reservations, confirmations, meeting set up, coordinating catering services and monitoring conference room availability. The Coordinator will ensure timely communication to and from lawyers, clients, staff and departments involved in providing service to the conference center.

The coordinator will also assist with requests for special arrangements or services, including transportation, restaurant, travel and lodging; assisting with basic technology and audio-visual equipment such as laptops, telephones and lighting as necessary for presentations, etc.; coordinating Conference Center cleaning with office services staff; handling catering orders for daily meetings and special events; coordinating local VIP meetings including closings, client events, marketing events, and the handling of other VIP status meetings; coordinating VTC meetings and related services at all participating sites, VTC testing as needed, mid-meeting troubleshooting as needed; training local staff on EMS functions and capabilities (viewing meetings, pulling metrics reports, updating reservations, etc.).

Position Requirements: Must have at least 2 years front desk experience in a professional environment required, law firm experience strongly preferred, strong client services background, excellent time management and multi-tasking skills, superior interpersonal, verbal and written communication skills, proficiency with Word, Excel and PowerPoint; knowledge of audio-visual systems to allow basic set up for microphones and other technology used to support meetings, must be able to operate and troubleshoot, fax machines, copiers, and other basic office equipment, ability to learn and utilize EMS system, flexibility to work alternative shifts and share in overtime as necessary to ensure adequate coverage during weekdays, weekends, holidays and social events. Salary is commensurate with experience.
