Position Overview:
The Controller of Examination will assist the Controller of Examinations in planning, organizing, and executing all examination-related activities of the university. The role ensures smooth conduct of internal, mid-term, and end-term examinations, maintains academic integrity, ensures confidentiality of examination processes, and coordinates result preparation in compliance with university and regulatory standards (UGC, AICTE, NAAC, etc.).
Key Responsibilities:
1. Examination Planning & Administration
Assist in the scheduling and implementation of internal and external examinations.
Ensure timely preparation and communication of examination timetables, invigilation schedules, and hall arrangements.
Oversee the printing, secure storage, and distribution of question papers.
Ensure compliance with examination regulations, code of conduct, and confidentiality protocols.
2. Coordination & Monitoring
Coordinate with Deans, Heads of Departments, and faculty for smooth conduct of examinations.
Supervise examination centers, invigilation duties, and staff deployment.
Monitor examination processes to prevent malpractice and ensure fairness.
3. Result Processing & Evaluation
Supervise answer script collection, evaluation, moderation, and result compilation.
Oversee result tabulation, verification, and timely publication of results.
Coordinate revaluation, recounting, and grievance redressal processes related to examinations.
Maintain digital and physical examination records in the ERP system.
4. Technology & Data Management
Support the digitization of examination processes through ERP/automation systems.
Maintain examination databases and ensure data accuracy, confidentiality, and security.
Generate examination-related analytics, reports, and performance dashboards.
5. Compliance & Reporting
Ensure adherence to university ordinances, UGC norms, and academic regulations.
Prepare reports for statutory and accreditation bodies (NAAC, AICTE, NIRF, etc.) regarding examination statistics.
Assist in framing and updating examination policies, SOPs, and manuals.
6. Leadership & Team Management
Supervise examination cell staff and ensure timely completion of tasks.
Train and guide staff on examination procedures, confidentiality, and ERP usage.
Handle administrative correspondence related to examination matters.
Accuracy and timeliness in result declaration.
Compliance with examination policies and schedule
Smooth execution of examinations without operational lapses.
Improvement in automation and efficiency metrics.
Qualifications & Experience:
Educational Qualification: Ph.D. in Management/ Engineering or Education
Experience: Minimum 15 - 25 years of experience in university/college examination systems, with at least 5 years in managerial / Leadership role.
Technical Proficiency: Hands-on experience with Examination ERP, MS Excel, MIS reporting, and document digitization.
Knowledge: Strong understanding of UGC, AICTE, and university examination norms.
