Academically Post Graduate from Kerala University with first class and added PG Diploma in Computer Applications, I have come a long way to acquire commendable experience in the field of Document Management by my 7 years of experience from reputed organizations. I have managed document processing mainly through Aconex supported by SAP for complicated process of prestigious projects in UAE such as Ferrari Theme Park, CMR, to name a few. My work overlaps with other departments especially QA/QC and have involved in the total process of execution of various trades. Today, I possess vast treasure of knowledge useful for any type of projects. I am well versed with Microsoft Applications, Lotus Notes, Microsoft outlook, internet and other communication system and applications riding on the crest of technology. JOB PROFILE
Responsible for supervising / managing all documentations / document controls within the site office, reporting to the Project Director.
Maintaining all files within the Filing Department.
Opening new files as required as per ISO standard filing system.
Maintaining all tracking records and ensuring that they are initialled when a file is taken from
the filing room.
Issuing of various drawings / record maintenance / filing / archiving of various drawings / documents viz. correspondences, reports, contract / tender drawings, issued for construction drawings, shop drawings, material submittals, variation orders, other claims related issues, etc…
Chasing up each individual for return of files & documents.
Maintaining all Tender Documents and ensuring originals are not taken from the filing room.
Keeping all files in a tidy condition.
Ensure that all filing is up-to-date and in accordance with ISO quality checks.
Responsible in doing Weekly / Monthly Reports
Dealing with Subcontractor, Consultants, etc… whenever required
Preparation of various correspondences, transmittals, submittals, etc…
Daily administration of drawings, material submittals, transmittals & other documents.
Receiving and distributing documents
Maintaining the status of the letters and documents forwarded to the Client, Consultants, Project Manager and other Divisions.
Maintaining a register of all incoming and outgoing mail, stamping and recording of mail before circulating for distribution to the Project Manager as set out in QP05 of the Quality Procedures & the relevant section of the Site Supervision Manual
Preparing and updating following logs / registers:

JOB PROFILE
Started my carrier in the esteemed project, I involved in preparing document for Ferrari World Project (Yas Island Project, Client- ALDAR- BESIX Property Development.
Directly reporting to Project Director
Prepares a weekly Document status update report to Project Director
Prepares and maintains the master document Register Correspondence Register(CR)
Update MDR and posts to server for project personnel review weekly.
Filling Management of all documents (Drawings, Correspondence, contract license, business permit, etc) in respective file number and location.
Issuance of Project Document Such as Electrical, Plumbing, HVAC Drawings, Method statement, Material Submittal, ITP,RFIs, Calculations etc.. to consultant for submission and maintaining log with return drawings status( Approved, Approved with Comments, Not approved And Rejected)
Keeping all the drawings (Hard and Soft Copies) for Project such as Contract drawings, Shop Drawings Check prints, Submitted Drawings Copies, Original Commented/ Approved Drawings and As Built Drawings.
Ensure electronic copy of documents is stored to server and tracks document in review cycle.
Distributes copy receipt of correspondence, placing original appropriate file.
Receives incoming correspondence, stamps document and assigns number to outgoing correspondence. Makes copy, sending original (Outgoing) to destination, filing copy in appropriate file.
Make a electronic copy of all correspondence and files to appropriate electronic folder
Ensure all documents and correspondence are electronically back up
Monitors Updating of E-mails to server.
