QUALIFICATIONS
HR ASSISTANT
• In-Services (copy, package, distribute to aides, and help assure Omni Park & Help@Home aides are up to date with them)
• Fax employee verifications to companies to get references
• Type and keep list of reference fax numbers updated
• Assist applicants with Application Process:
1) Collect all required material from applicants, then copy them
2) Supply applicant with all appropriate forms to fill out (Application Process, Self Assessment, Applicant Test)
3) Grade test
4) Supply application to application and instruct them on filling it out, upon passing test
5) Schedule applicant’s interview with HR Director
6) Schedule interviews, check references for applicants applying at Home@Home (second office), upon receiving their information, via faxes, from Help@Home’s Administrative Assistant
• Copy and prepare Orientation packets for new applicants
• Call aides for HR Director, upon request, with information, relay a message, reschedule, etc.
• Schedule aides’ Skills Test Review appointment with Director of Nursing
• Help assure applicants are scheduled for live session of Skills Test at Phoenix Health Institute
OFFICE ASSISTANT
• Operate office equipment such as fax machines, copiers, and phone systems and use computers for spreadsheet and word processing
• Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints
• Compute, record, and proofread data and other information, and review work by others
• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
• Compile and compose, file and retrieve corporate documents, records, and reports
• Perform general office duties such as ordering supplies
• Make travel arrangements for executives and other personnel
• Locate and attach appropriate files to incoming correspondence requiring replies
• Open, read, route, and distribute mail and other material and answer routine letters
• Create flyers, postcards, mailers, posters, etc. for marketing purposes
RECEPTIONIST
Perform administrative support tasks such as proofreading, and transcribing handwritten information
Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
Make copies of correspondence and other printed material
Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
Hear and resolve complaints from customers and public
File and maintain records, including database
Transmit information or documents to customers, using computer, mail, or facsimile machine
Provide information about establishment such as location of departments or offices, employees within the organization, or services provided
