Surgical Scheduler September 2018-Present

Responsibilities for the Surgery Scheduler include scheduling inpatient and outpatient surgeries, medical procedures, tests and studies ordered by our physicians, documenting patient and surgery correspondence and preparing surgical forms for billing.

Primary functions and accountabilities include the following:

Schedule and coordinate patient surgeries and diagnostic studies per physician's order

Verify insurance coverage and determine if a second opinion is required. Pre-certify surgery or study if indicated; obtain orders from physician for lab tests if indicated

Schedule surgery, diagnostic tests, or study with operating room or facility. Ensure operating room or facility is prepared for surgery, tests, or study with necessary paperwork and special equipment for surgery if requested by physician

Instruct patient during pre-admission registration of surgical date and post-surgical care

Confirm and obtain any patient prescriptions, if indicated, from the attending physicians

Keep patients, physicians and facilities informed of any scheduling changes

Record all medications prescribed and refilled by physicians for surgical patients; insure correct medication reconciliation

Obtain list of inpatients from physicians and provide the on-call physician with a copy of the list; confirm with the on-call physician that all messages and medications are documented in patients' charts

Initiate and implement charge sheet process; submit charge sheet to on-call physician for services provided over the weekend; assist physician with correct coding of procedures

Administrative Coordinator July 2017-September 2018

Inova Fairfax Hospital, Fairfax, Virginia

Responsible for contacting new referrals that come through various cardiologists, both within and outside the Inova Health System, regarding Transcatheter Aortic Valve Replacement (TAVR). In addition, responsible for coordinating care for mitral clip and Apollo study patients by communicating with patients and their family members of the required work up testing involved and working collaboratively with other hospital departments to schedule the necessary studies. Work up testing includes, CT scan, pulmonary function test, echocardiogram, EKG, two view chest X-Ray, carotid doppler ultrasound, and cardiac catheterization. Work closely with two heart surgeon consultants to insure appointments and testing are appropriate and most convenient for their patients.

Review patients’ charts to ensure no duplicate testing is done and obtain prior test results, if available and valid. Scan documents into patients’ charts to include insurance cards, dental clearances, questionnaires, etc. The program requires 30-day and 1-year follow up appointments that must occur within specific time frames; responsible for timely follow-up with these patients and scheduling necessary appointments.

Client Service Administrator January 2015-July 2017

Manage oversight and management of seven customer contracts; to include large government contractors, telecommunications companies, wine producers, and environmental organizations
