Records Operation Specialist: Duties

As the Records Operations Specialist I assists with daily operations and handling of files and/or file room(s) and is responsible for timely delivery of active files, new files and/or files from offsite storage. Responsible for promoting and implementing records management programs. Assist the records staff, including training, quality control and maintaining client service. Also responsible for the quality checking and re-filing of returned files to the central files room.

Performed routine data entry required to update the records management system.

Maintain files of original documents to be labelled correctly so that labels are legible and placed in the proper folder jacket. Examples: Correspondences (emails) Audit Letter (should be label Audit letters) Contracts should be label as contracts, and not correspondences. Etc.

Respond to all request in a timely manner. Scan, track, makes sure all files are index before being sent out of the department or to an offsite storage location.

Ensure that all files are properly kept in designed locations, such the records department or checked out to the appropriate staff member who has requested the file.

Weekly preparation of reports for newly opened client matters and closed matters for retention and offsite storage.
