Operations Coordinator
Acting as an assistant to all CEO, President, VP, Directors and managers. Duties include but are not limited to maintain corporate office schedule, collect biweekly payroll, collect and compile all competitive compensation data and process invoices and expenses
Assist in planning district, regional and national and meetings for 180+ stores including booking travel, meal arrangements, car rental, social engagements, flights and special needs for the entire field
Manage and oversee store operations such as expense control, maintenance costs and inventory control
Provide training/functional support on every aspect of the store and personnel issues to the stores by maintaining constant awareness of all operational policy and procedure changes, communicate changes to the store employees through proper communication channels (company intranet- adding/removing files and upkeep to ensure that the stores are informed) including but not limited to FAQ’s and field memos, retail calendars, field surveys, comp certificates and company newsletters
Provide ideas and solutions for ways to improve store functions including working with Customer Service to find solutions for customer issues in addition to managing the rewards loyalty program
Create and maintain contests through memos, updates, winner calculations and prize distribution; Evaluate contest success comparing payouts against company success
Provide sales and productivity results and ensure budgets are on track for all operating expenses utilizing historical data, new initiatives, comp, non-comp and new store data
Assist in the hiring process as well as placing ads
Work with the Loss Prevention team and managers to review and maintain owned and operated procedures an best practices
Coordinate information with construction department on build outs for remodels and new stores and coordinate the various activities focused on opening new stores to comply to timelines and budgets. Managing and reporting issues related to projects, following up to find solutions to the errors or problems and acting as a liaison between teams to ensure projects runs smoothly keeping all members affected in the projects up to date through the process and tracking new store sales trends and evaluate opening procedures
Marketing Coordinator
Build and maintain relationships with all corporate employees, field personnel, event coordinators, marketing contacts as well as mall contacts
Develop and Coordinate all phases of innovative, branded and revenue generating event planning process (research, planning, coordination, and evaluation) with delivering quality and creativity for intimate gatherings and large crowds including fundraisers, product launches, tradeshows, conferences, grand openings, festivals, events, team building and music and film festivals
Event Management ability to manage and execute multiple events simultaneously including but not limited to timelines, production schedules, risk assessment, vendor/venue management, event team coordination, executing on and off site events, event set-up/day of hosting, managing logistics throughout the event, and event tear down.
Oversee, review, and process assigned accounting and financial matters based on assigned event budgets and contracts including processing PO’s and requesting quotes from vendors
Support District Teams within the event planning process to ensure the success of the event experience and entire planning process.
Collaborate with like-minded organizations, agencies and businesses on partnership and/or sponsorship opportunities to meet the needs of the company through programing and events
Collaborate with nationwide malls and magazines as well as the creative department to comply with lease required advertising terms and placements within magazines including but not limited to print run specifics, deadlines, contracts as well as processing payments
