• Monitor the progress of cultivation and harvesting in the coffee farmers’ plantation, making sure the post-harvesting process has been done correctly, guaranteeing the best quality of coffee.

• Plan and develop annual purchase plan and cash flow.

• Plan, coordinate and manage international shipment of green coffee bean from Indonesia. Include coordination with producers/farmers, shippers and shipping agents. Keep track of invoices and prepare reports for billing process.

General operations:

• Provide analytical, technical and administrative support to the Chairman, Board of Founders and Program Directors. Organizing necessary meetings, both logistically and substantively.

• Ensure smooth coordination, communication and cooperation among foundation employee across ten projects locations.

• Provide assistances, recommendations and advice to the managers, coordinators and others in the foundation for strategic and work planning on projects, day-to-day managerial matters and other issues.

• Provide strategic and policy inputs to the implementation of the projects within the foundation. Together with Managers/Coordinator plan, manage, approved and oversee the projects activities, determine work priorities, set goals and oversee the quality of work outputs.

• Manage effectively all foundation resources, including physical, financial, and human resources.

• Develop recruitment strategy and ensure the recruitment of qualified and competent staff

(including project staff). Include prepare appropriate salary offer to each selected candidate and ensure that internal and external equity is observed. Conduct thorough screening of candidates for openly and locally recruited staff from the applications for the shortlisting of the interview.

• Manage staff mobilization processes such as promotions, transfers and terminations due to retirement or end of contract. Together with his/her supervisor, handle employee relations matter that are related to disciplinary issues, employee disputes and/or employee rights, etc.

• Point of contact for local partner (NGOs and Government) for various issues, i.e. MoU, meetings, work coordination, reporting. Attending meetings or delegate it to relevant personal in YEL. For important meeting: provide brief information which relevant to the meeting; plan and strategy of YEL towards the meeting.

• Plan, follow-up, manage and actively involved with local partners and donors for project coordination and implementation.

Administrative support:

• Assist in compiling and/or providing the relevant documents/information such as briefing notes and talking points for Meetings.

• Assist with the coordination of the follow-up actions and decisions with relevant internal and external parties. Includie development of strategic plans/programs/proposals/report.

• Track on validation on contract, MoU, working agreement, reporting and coordinate the follow-up actions for it. Contribute in fulfill licensing requirements for foundation operations, include tax report.

Financial:

• Develop financial control to maintain propriety and proper accountability of expenditures. Monthly check on financial statements. Financial planning for projects and investment, based on existing financial status. Monitor budgets and expenditures and contribute to preparation of budget and its revision. • Coordinate the update of status of project funds from donors according to planned/pledged/estimated costing of activities, and the status of the Project Financial Report.
