Job Duties: Computer time - The secretary spends up to 6 hours per day sitting at the desk to manage computer files, review documents (emails), schedule meetings, create documents, assisting the team. The work is fast, constant, and requires considerable multi-tasking with schedule clients for appointments. Very Heavy Phone work for all appointments and managing my Director’s credit card monthly bill. Scanning/faxing - The need to walk to the copier room occurs up to 3 times per day. At any given time, a person may need to stand for up to 15 mins or less, but they can walk back to their desk to wait for confirmations which increases the number of times a person needs to walk back to the fax machine. At times, multiple (2) reams of paper need to be refilled into the fax machine. Must respond to faxes in a timely manner. Many documents must be addressed with a fax and/or email immediately or by the end of the work day. The volume of faxes is on the average four (4) per day. Many faxes/scans must be followed up with computer time to log in information. Scheduling meetings - Responsible for making/receiving calls – up to 7 or more per day. Creating calendar entries for all meetings with notes- up to 7 or more per day. This is one of the most critical functions of the secretary’s position, which requires constant attention to detail and sustained concentration. Phone calls-Frequent calls to invite guests, organize meetings, verify information and set up meeting room to accommodate the number of guests for the meeting. Printing out a sign in sheet, survey, and if required to set up a reteam date in calendar and invite the team to process the clients assessment. Organizing, planning - Must be able to organize the schedule to ensure all details of the job are addressed. This can be highly stressful due to the content of the information and the time it takes to set up meetings and manage guests and files. Individual duties such as documenting in the calendar, managing guests for meetings, making call or emails is dependent on the number of people attached to each meeting. More guests increase the amount of time a person needs to spend on a specific task. The environment can be very quiet or very distracting at any given time. In summary, the content, pace, and environment is stressful, extremely fast paced, very time sensitive, and requires full attention and focus to detail. The position requires the ability to perform all tasks independently and be a self starter and other various duties.
