Position Title: Operations Executive – Logistics Coordinator/Customer Service

Liase with handling agent in Port of Loading with daily follow ups

Creates Sales Quotation, Sales Order, & Sales Invoices via SAP and follow up pending payments.

Forward loading instructions to handling agent, Supplier, Shipping Line and Inspection Agency

Coordinates with Inspection Agency on nomination acceptance, loading reports, Issuance of Certificates and other documents related to the shipment.

Match loading reports for both Handling agent and Inspection Agency Monitors cargo shipment sailing and arrival from country of origin, load port till its final destination.

Prepares Shipping documents like Packing List, certificate of Origin, Marine Insurance & others.

Always update Head of Operations on all vessel sailings and loading status.

Attends all general queries and forwarded to the consent person.

Always update client of loading commencement, vessel schedule sailing and arrival.

Request all shipping instructions from client and forwarded to the shipping line for execution.

Inform client on loading completion, total quantity, and confirming on the draft documents.

Invoices from Shipping Lines, Loading agent, Insurance Company, and Inspection agency to be crossed check along with their SOA and will be submitted to the accounts for payments.

Handling LC shipments, checking all the LC Terms and Conditions required by the bank if we can comply for it together with the cargo status.

Position Title: Operations Executive/Sales Coordinator/Customer Service Executive

Provide a day to day basis a consistently high quality service with the client.

Maintained customers focus on all times and answering to customer’s general inquiries and proactively following through into resolution.

Maintaining records of all transactions and interactions made with customers.

Ensure that all customer queries are well-investigated and resolved, and escalating queries if

appropriate to the high superior, and making all telephone calls are well answered with the

satisfaction of the caller and provide relevant information as requested and discussed on time of

conversation.

Perform various customer service activities, including up selling and handling new & existing accounts.

Maintain, grow, and build long term relationships with account portfolio via phone calls, emails, and job quality follow up.

Act as a liaison between clients and operations & other departments to ensure efficient service levels are delivered to the clients and resolve specific disputes or provide advice on technical issues to customers.

Responsible for taking quote and rate from the shipping Lines and Airlines and provide with the client,

agent nomination /order routing at the earliest.

Deal extensively with the Customers when it comes to Customs clearance and effectively

communicating and coordinating with their respective department in accordance with the procedure.

Follow up the shipment on day to day, acquire accurate and up to date status/information to/from the

customers by phone, fax, mail or even sms to expedite the Customs clearance formalities.

Ensure correct documentation, paperwork’s, before proceeding with the customs clearance.

Liaise with the Operations Staff/drivers on specific duties payable and problem shipments to resolve any dispute when it comes to clearance and delivery of the cargo.

Familiar with the Customs clearance procedures, requirements, documentation (HS Code) and can pass and execute Customs Import Bill/BOE from the Dubai Trade System

Filling all the cost related to the shipment and forward to the accounts for invoicing.

Provide a high level of customer service and professionalism taking into account the consideration that

all customers have their own requirement and are looking for instant and immediate action.
