2 PROFESSIONAL EXPERIENCE

Presently working with “Shapoorji Pallonji Mideast (LLC), P.O. Box: 300587, Riyadh -11372, Kingdm of Saudi Arabia, in the capacity of Deputy Manager - Administration, looking after the Whole Administration, Transport, Horticulture, Security, Food-Court, House Keeping, Estate, Project Site, Labour and Staff Accommodations, from March 2015 - till date.

Administration

1 Working with Director of the organization. Coordinate with various Departments of the organization.

2 Provide training, motivation, technical and logistic assistance to the newly employed personnel.

3 Supervise a staff of 70 personnel indulge in House Keeping, divide the work between them and inspect the work.

4 Make arrangement for the repairing or maintenance for the electrical items, vehicles, music equipments of the office.

5 Make Arrangements to get transportation to the organization personnel.

6 Exercise control over the supervisors and managers of outsourced security agencies for deployment and functioning of security personnel in the region.

7 Monitor the security system and process to ensure security of office premises, equipment, personnel and business secrets.

8 Ensure timely and correct installation of fire-fighting equipment and monitor their maintenance.

9 Ensure 100% facility up-time to include electricity, generators, ACs, water supply etc.

10 Ensure maintenance and functioning of all air conditioners, ROs, invertors, signage’s, tea/coffee vending machines, TVs, microwave ovens, telephones and other electrical equipment in offices.

11 Also be responsible for the safe custody and implementation of AMCs of all equipment.

12 Carry out weekly/fortnightly/monthly/quarterly checks & inspections of all departments of the organization for monitoring and reporting the standards being maintained in offices.

Transport

I. Fleet Management

1 Ensure accurate tracking of all transport resources by using existing tools and/or developing new ones, and using said tools to proactively meet current and future program challenges. Transport tracking tools include, but are not limited to, repair job cards, asset inventories, spare parts requests/inventories, vehicle log-books, and fleet status records.

2 Conduct annual planning of physical and human resource transport fleet needs.

3 Ensure all staff, especially driver/mechanics, adheres to Transportation Policy.

4 Serve as the overall supervisor for over forty drivers/mechanics and one transport officers.

5 Ensure proper management of all transport workshop assets.

6 Co-ordinate the movement of vehicles and transport staff to meet program needs.

7 Conduct regular field visits to vehicle’s to enforce the transportation policy, and directly assist in difficult repairs and capacity building efforts.

8 Ensures that all registration, insurance, permit, fitness, all the other requirements are updated and in accordance with the law.

II.Maintenance

9 Serve as the primary automotive technician directly overseeing all repair jobs subordinates are unable to perform.

10 Supervise the regular, systematic preventative maintenance of transport assets carried out by driver/mechanics and transport officers.

III.Capacity Building

11 Conduct regular, practical, on-the-job training of driver/mechanics on proper: preventative maintenance, basic repair procedures, transportation policy, difficult terrain driving, and vehicle recovery.

12 Along with transport officers, conduct practical, on-the-job staff training on safe vehicle operations and basic vehicle preventative maintenance.

Facility & Maintenance

1 Replaces broken doors, windows, latches and closets.

2 Does the routine daily, weekly, and monthly checks on the equipments and building maintenance and keeps a tab on the procedures and schedules.

3 Helps in installing computer cables and repairs the control circuits and electrical equipments.

4 Replaces damaged electrical switches and refrigerator systems.

5 Repairs and calibrates pneumatic systems.

6 Help in emergency maintenance requests.

7 Acquires estimates for repair parts and supplies as and when needed.

8 Runs errands for several departments when the need arises.

9 Perform preventive maintenance procedures on broken parts, building equipments, etc.

10 Move and assist in transporting of equipments and furnitures.

11 Set up and break down the cubicle partitions, employing discretion for identifying projects which require higher-skilled crafts.

12 Activate and deactivate building alarms by responding to alarm calls.

Estate

1 Manage, develop and implement, in conjunction with the Project Director, a rolling 5-year Strategic plan for the Estate Department

2 Manage the Estate Department budget & Staff

3 Maintain the estate to a good, safe and secure standard plan and manage agreed minor and major projects to ensure they are completed to a high standard and are delivered on time and within budget.

4 Liaise with such external agencies as necessary

5 Comply with all relevant statutory and regulatory requirements

6 Comply with local authority requirements

7 Prepare and submit planning applications

8 Manage contractors

9 Negotiate and secure the best prices for oil and electricity supplies

10 Develop strategies for energy and environmental conservation and for waste management

Health and Safety

1 Manage Health and Safety within the Estate Department & Project Site Premises.

2 Ensure that all risk assessments throughout the Site are up to date and effective ensure that the Project complies with all Health and Safety legislation

3 Provide Health and Safety and fire safety guidance and training to all Office and support staff

4 Monitor and minimize hazards throughout the Site

5 Provide a prompt and effective response to maintenance problems

6 Provide an outstanding level of support to the needs of office & support staff and, in so doing, gain their respect and appreciation

7 Undertake such training and study as required in order to stay abreast of legislation and developments relevant to the post.

Local Purchase:

1 Prepare quotation to the local suppliers, collection and comparison of the price list and finalizing the final purchaser after the discussion with the Project Director.

2 Prepare, verify & clearance of the monthly bills from suppliers, & clients.

House Keeping

1 Supervise a staff of 70 personnel indulge in House Keeping, divide the work between them and inspect the work.

2 Organizing weekly & monthly meeting related to the House Keeping.

3 Arranging Pest Control Service on monthly basis in the office & camp. Also make arrangement for the repairing or maintenance for the electrical items, vehicles, equipments of the office & camp.

4 Make arrangements for the weekly and monthly inspection of the dining hall and the kitchen to provide hygienic food to the employees.

Manpower Mobilization

1 Correspondence with Manpower suppliers to arrange and provide better candidates to the organization.

2 Coordinate with local manpower supplier & other companies.

3 Review and update the Daily Man Power Mobilization program.

4 Revising and distribute the Correspondence to the concerned Department or Department requested.
