WORK EXPERIENCE

Assistant Vice President - Executive Assistant and Office Manager

The Bancorp, Philadelphia, PA, - May 2009 – January 2015

Provided C-Level administrative support to two Executive Vice Presidents in the Commercial Real Estate Lending Division. The primary responsibility of the role was to ensure that the needs of the executives and departments were prioritized, organized and executed towards maximizing productivity and service. Provided triage communications to the executives and ensured that any additional information they might need to respond was available. In addition, any matters that could be handled without the executive were managed or delegated accordingly. Each day, a review of active projects, communications and events were covered in a brief session with my managers where further instructions and new assignments were provided. Handled many tasks and situations involving challenging clients, administration and ongoing development in the office. Led or participated in team projects as needed. Exceeded expectations in event planning and coordination of a co-sponsored annual golf outing. Functioned with a broad degree of latitude, financial trust and creativity.

The responsibilities of the Office Manager involved supervision of a staff of three to ensure seamless operation and productivity in all facets of office operation. Consideration of global company policy, employee morale and budgets required. The office staff increased by 75% (approximately 80 employees) over a 5-year period. Smooth on-boarding and growth required extensive coordination and planning with building management, facilities and IT. Every new employee arrived to a desk and computer that was set up and ready for work. Developed procedures for all office activities, including a reception services manual, vendor management, multiple checklists. Provided assistance with audio-visual and IT needs when necessary and trained staff on new company software and equipment. Approved all invoices (supplies, overnight mail, subscriptions.) As manager of our national relationship with Federal Express, I was successful in arranging for all cost centers across the country to have separate cost codes in the system. This resulted reduced work in Accounting and more control at the office level for cost containment. Managed equipment ordering and facets of on-boarding and termination support for the entire office. Also responsible for the division's Disaster Recovery document for Philadelphia office.

SAMPLE ACCOMPLISHMENTS:

> Promoted to Assistant Vice President in three years

> Arranged for an executive’s last moment travel to China. Using resources, research and creativity, the executive was provided with visas and travel approvals on time.

> Created new Loan Committee Meeting procedures, which utilized Sharepoint and The Box (cloud service) to improve accessibility to Loan Committee materials for executives on the road.

> Created a new employee welcome and safety manual, which is now being used as a company-wide template.

> Created Reception/ Safety manual with my team. It is now being considered for use as a company-wide template.

> Created custom emails and informational brochures to provide to guests attending company-subscribed sporting events. The package increased the perceived value of the event and reduced the stress of guests in answering most questions.

> Created a charity contribution and event tracking system. The system reduced time spent on approximately thirty charity events by half.
