Job Description and Responsibilities

Finance Function

Billing

. Purchase Order/ Price Quotation will be sent/ submitted by the revenue

groups or assigned Project Manager.

. Accounting & Finance Manager will assign Job Order (JO).

. Cost Sheet should be provided by the PM.

. Check the payment terms or delivery date of the project for billing

purposes.

. Create Sales Invoice.

-Peso billing - sales invoice with BIR validation.

-Dollar billing - sales invoice with signed of Mr. George

Israel. If the stocks of invoices are few, request or email Sir

George to send copies of invoices with his signature.

. Submit to the client together with the following attachments. Make

sure that photocopy all the documents for receiving copy.

-Letter of Request for Payment

-Sales Invoice

-Copy of PO/PQ Summary of breakdown of project being billed.

-Other documents from documents may require.

. Update the tracking file "Updated Purchase Order"

Collection

PESO Collection

. You will receive an email from the President re: revenue systems for

the collection.

-SMART- Asia United Bank; Buendia and Rufino Branch

Collection day: Tuesday and Friday

. Confirm if there is for collection to Unionbank Check Writer. Tel# 841-

8600 loc. 4.

-PLDT- Unionbank Madrigal Branch

. Record the sales to MYOB and all sales must be encoded upon deposit of

the payment.

FCDU Collection

. Sir George will send an email for the payment remittances receive from

client.

. Give instruction re: wire transfer. Determine the revenue sharing for

each company.

Accounting Function

Liquidation of Cash Advances

. Monitor all the cash advances of employees.

. Check the date when the cash advance has been made, content of the

liquidation form and the attachments submitted.

. Record the liquidated expenses to MYOB (General Journal) with correct

entries.

. Print the general journal form.

Bank Reconciliation

. Bank recon must be done every 10th of the following month for MYOB 1

and MYOB 2.

. Update the passbook of all companies.

. Report must print and file to the designated folders.

Bookkeeping and Filing

. Scan all the vouchers including the attachments to the designated

folders. Save the files to accounting scanner data.

. Be sure that file the check vouchers including cancelled vouchers to

the assigned folders.
