Serves as a Senior Administrative Associate to Senior Level Executives; manages the day to day operations of
the office; organizes and maintains files and records, plans and schedules meetings and appointments; manages
projects and conducts research.
Monitors and screens calls; manages calendars; plans and make travel arrangements, coordinates itineraries,
event arrangements prepares reports, financial data and provides quality customer service.
Monitors and tracks work completed by staff in order to meet specific and changing deadlines; coordinates
agenda for monthly staff meetings, and provides feedback for effective problem solving.
Fluently translates for clients that speak foreign languages i.e. Spanish and French; accurately prepares, drafts,
edits internal and external correspondence, documents, reports, presentations and maintains confidentiality.
Responds to inquiries and requests in a timely manner using electronic or telecommunications; updates system
database and maintains log using Excel spreadsheets.
Initiates and coordinates office support services, including purchasing, facilities management, check requests,
travel authorizations, expense vouchers; monthly reports, track services, prepares and processes requisitions
received from various departments.
Liaises for Senior Managers, Finance Departments, and outside vendors working on year end budget
modifications and decreases; Ability to quickly analyze complex problems & negotiate with third parties for
effective resolutions; formulates and prepares manuals and newsletters for annual events and major campaigns.

Processes invoices, check requisitions, employee travel and expense reports, reviews incoming invoices and
other supporting documents for accuracy; enters data for payment utilizing system database, addresses errors
and omissions with vendors, resolves budget related issues with budget department.

Generates related verification reports and queries, responds to inquiries from vendors; follows up and resolves
past due invoices/statements; maintains accounts payables files and records; exhibits excellent written and
communication skills; attention to detail; high level accuracy and client confidentiality.
