Payroll Coordinator 2013 to Current

Process weekly and bi-weekly disbursement of multi-state payroll for employees in various

locations, adhering to federal and state wage and hour laws;

Retrieve all payroll time sheets, exception reports and discrepancies from mailboxes;

Create payroll adjustment sheet if needed, and validate all payroll discrepancies before executing;

Enter/ import all hours for weekly and bi-weekly Payroll (Multi State) into ADP system;

Communicate with field managers to clarify and rectify any payroll concerns;

Efficiently save and email all transmitted payroll registers to district mangers to review and

confirm;

Audit payroll registers and review time sheets data and perform payroll adjustments if needed

before final acceptance;

Accept all payroll registers using ADP system in a timely manner;

Import payroll into Accpac and post on GL;

Maintain correct payroll profiles for all employees (company code, employee ID numbers, pay

rates, etc…);

Analyze and review time keeping systems data; (TimeTrex & Micros) and update employees’

information accordingly,

Process and update payroll statutory and voluntarily deductions (taxes, direct deposits,

garnishments and support orders, etc…);

Handle tax issues and notices as they come in by sending them to ADP, and follow up once they

get back with their findings;

Process payments of state quarterly taxes and prepare government filings as required for payroll;

Complete all new hires, re-hires, terminations and transfers for all employees in a timely manner;

Complete all employment verifications;

Resolve any W-2 disputes via emails or calls received;

Provide customer service to employees for all payroll related issues and questions,

Set up and adjust payroll taxes according to state rules and regulations (PA local taxes, NY, Ohio,

etc…);

Process manual checks, stop/void payments and reverse/ delete direct deposits and follow up with

ADP to ensure funds recovery;

Enter and post payroll related journal entries (GL) and accounts payable invoices in Accpac to

ensure that financial statements are in balance, accurate and complet

Provide audit support, including preparation of requested payroll data and reports;

Assist in conducting monthly, quarterly and year-end audits and processes (taxes, W-2s, hours,

etc…),

Maintain files for audit and control purposes.

Strong knowledge of ADP Workforce and its HR functions, Financial and Compliance Services

(FCS), General Ledger (GL), Sage Accpac ERP, Crystal Reports, and Time Keeping Systems

(TimTrex & Micros).
