Position: Personal Assistant/Warehouse and Production Manager

Job Description:

Personal Assistant -

•Answer all incoming phone calls for the company.

•Reviewing documentation such as Profit and Loss, Accounts Receivable, Accounts

Payable, and Daily Financial Summaries to see where the company could be

saving money.

•Contact suppliers of screen printing and embroidery products and request samples,

haggle prices, and look into new products that might be useful for the company.

•Obtain MSDS sheets for all chemicals and products used in the warehouse and create

a book for all employees to reference.

•Review OSHA complaints and make changes to the daily procedures of the company,

also creating an employee handbook that outlined the important details of the

company pertaining to its employees.

•Attach paperwork from the Receiving department to its corresponding work order.

•File completed work orders in the proper client folder.

•File all documents related to Human Resources and Accounting (new employee

worksheets, invoices, receipts, etc.)

•Retrieve specific folders from a collection of over 15,000 folders that contain art

needed for burning screens, make a copy of the mock-up art, and attach the mock-

up to the work order.

•Create UPS or FedEx labels for all shipments.

•Run personal and business related errands for the owner and co-owner (pick up

lunch, personal and company banking, driving the owner’s children to/from

school, going to the store for certain supplies for the company, etc.)

Warehouse Manager -

•Fill out a production log that documents all orders printed each day, the quantity

printed, whether or not there was merchandise damaged while printing or drying.

•Supervise the folding and counting of all shirts, sweatshirts, sweatpants, or bags

printed each day to ensure proper quantities and customer satisfaction.

•Analyze each item printed to ensure that there are no mistakes in the artwork or spots

that need to cleaned before shipping.

•Pack each order printed according to instructions from the client (split ship or pick

pack).

•Create box count sheets which show exactly what sizes and quantities are contained

in each box so that if a box is lost in shipment, we know exactly what was lost

and what needs to be replaced.

•Number and weigh each box in preparation for shipment.

•Record weights of boxes on the work order so that the office assistant can create UPS

labels.

•Manage inventory based on customer orders and fill out request forms if more

supplies were needed.

•Supervise a team of 5-7 employees who tag, hang, and size shirts, heat transfer stones

or foil onto shirts, fold and bag shirts, or any other miscellaneous tasks needed to

complete an order.

•Refer to the schedule to understand which orders must be completed each day and by

what time.

•Assist customers who are picking up orders by finding their order and having them

sign off that their order was received.

Compensation: $11.00 per hour

Position: Quality Control Manager

Job Description:

•Review FDA laws and cGMPs pertaining to food production and dietary

supplements.

•Implement new rules and procedures that allowed the company to be come FDA

compliant.

•Plan and schedule various training sessions that focused on important aspects of the

company that were crucial to becoming FDA compliant.

•Create proper documentation to record attendance at these seminars and file the

documents for easy reference during FDA inspection.

•Attend Webinars while at work to expand my knowledge of FDA compliance in the

food industry, current Good Manufacturing Practices, and Standard Operating

Procedures.

•Create employee job descriptions that focused on each employee individually, what

they were trained to do, and what was required of them each day.

•Create the employee handbook that outlined general employee expectations and

guidelines.

•Create the company’s Standard Operating Procedures manual which outlined all

procedures for the manufacturing and blending of protein powders, and how these

procedures complied with FDA regulation.

•Analyze each order and conclude which allergen(s) each order contained. This also

required setting up a system that would ensure no cross contamination of

allergens occurred during production. I set up the system so that orders could be

completed in a timely fashion and cleaning of the production room was done only

4 times per day to ensure faster production times.

•Create labels for each order that displayed an ingredients listing, allergen statement,

product name, product weight, and lot number.

•Daily checks of the warehouse conditions and production room conditions, while

checking mostly for proper labeling of all products used in production and any

sanitation problems such as pests, improper cleaning practices, etc.

•Assist with packaging and shipping orders when the customer service representative

or the warehouse manager was not able to work.

•Assist with inventory and order new supplies for my area if necessary.

•Answer all customer phone calls and emails pertaining to allergens, ingredients, or

other technical data information.

Compensation: $12.00 per hour

AristaCare at Whiting (Nursing Home and Rehabilitation Center)

Position: Receptionist

Job Description:

•Assist the administrator, the admissions department, the activities department, and

the human resources department with the creation of spreadsheets, word

documents, etc.

•Sort through all mail that came into the facility, separating administration mail and

resident mail by room and floor number.

•Update facesheets for residents using a program called QuickCare. Facesheets were

updated when a resident moved in, went to the hospital, went out with family,

passed away, updated or changed insurance information, contact information, or

any other important details. Facesheets reflected all information about the

resident, including medical problems and names and phone numbers of all doctors

and caregivers.

•Miscellaneous filing, copying, faxing, and mailing of documents.

•Answering the main line of the facility, which contained 10 different lines and over

50 different extensions throughout the facility. Many calls were urgent messages

from doctors and it was important that the doctors were in contact with the proper

person in the facility as soon as possible.

•Overhead paging and walkie-talkie paging for nurses, doctors, and other employees.

•Overseeing each visitor that entered the facility and ensuring that they were properly

signed in and knew where to go in the facility.

•Closing the reception area at 8pm each night and making sure that doors were

properly locked, cameras were on, and calls were rerouted to the 1st floor nursing

station until the morning.
