ADMINISTRATIVE ASSISTANT (July 1998 – July 2017)

Dewberry & Davis, LLC Fairfax, Virginia

VDOT Design Build Rt 50 Widening, Rt 28 Widening, Innovation Avenue Phase III, Rt 29 Rocky Run Widening, I-66 Widening, Compass Creek DTR Ramp and Pacific Phase II, III and IV:

Receive and review material tickets and enter into VDOT materials notebook. Receive, review and approve project Source of Materials and return to contractor. Created and maintained file system. Verify TL102’s with material tickets. Scanned all documentation for electronic backup of files and linked to notebook. Maintain monthly project diaries, project logs and records of correspondence and submittals. Prepare for monthly QA meeting and handle any issues with missing documentation. Responsible for monthly project audit with customer. Responsible for inventory procurement. Performed all duties with little to no supervision.

VDOT Rt 28 PPTA Project:

Responsible for receiving material tickets and verifying totals. Matching tickets to Quality Assurance (QA) sheets for all Rt 28 PPTA project interchanges at one time including: Waxpool Road, Westfields Blvd, Rt 606, McLearen Rd, Centreville Road Widening, Loudoun County Parkway and Sterling Blvd as well as future interchanges. Created and maintained filing system. Responsible for all material notebooks for each interchange within the PPTA project. Generated and distributed correspondence to contractor.

VDOT Design Bid Build Regional Signals Projects, Pavement Marking Projects, Maintenance Projects, I66 Roadway Lighting Project, I-95/I-66 Traffic Management System Project:

Responsible for pavement marking contracts. Including receiving C85’s, writing reports and entering them into SiteManager. Review all daily inspection reports. Generating and approving monthly estimates for payment for many contracts and one time. Performed journal entries, drilldowns (as needed) and maintenance vouchers in FMSII. Responsible for monthly progress meeting minutes. Also required to generate monthly CPE’s for contractors. Generated change orders when needed. Contacted power companies for electrical services when needed. Maintained all project files for multiple projects at one time. Provided administrative support when projects were CQIP’d. Required to enter lane closures into LCAMS and VaTraffic. Maintained project submittal and correspondence files and logs. Created and maintained file system. Updated as-built schedule. Performed all work with little to no supervision.

VDOT NOVA District Wide Contracts:

Responsible for running monthly certification report and updated database. Uploaded documentation to IPM and filed. Responsible for procurement of office supplies. Created and maintained police voucher and journal entry database. Receive, distribute for approval and create transmittal covers for payment of police vouchers. Update personnel files. Responsible for daily mail pickup and distribution. Gather updates for project websites. Prepare correspondence for change orders, CPE’s, closeout documentation, sublets, Notice of Intents, complaints, etc. Responsible for updating Dashboard database and spreadsheet monthly for meeting. Responsible for distributing monthly project listing. Filling out RM-3’s as needed. Performed all work with little to no supervision.

General Administrative Duties include:

Assist coworkers with expense reports as needed. Provide administrative support. Research and compile project data in spreadsheet or graphic format for tracking purposes. Responsible for handling multiple projects at one time and determining precedence of the projects. Received and distributed incoming correspondence and prepared responses when necessary. Provided technical support to coworkers as needed. Acquired truck logs from employees and distributed to management. Responsible for timesheet submittal (prior to electronic submission). Answered multi-line phone system professionally and routing calls as necessary.
