Responsibilities

1. Provides department with administrative and secretarial support:

a. Prepares and designs general correspondences, memos, charts, tables,

graphs, visual presentations, business documents, etc. Proofreads for

spelling, grammar, and layout, making appropriate changes. Responsible for

accuracy and clarity of the final copy.

b. Coordinates schedules, making appointments and establishing agendas.

c. Handles confidential and sensitive information.

d. Establishes, develops, maintains and update databases. Retrieves

information from files when needed.

2. Professionally administer all incoming calls:

a. Ensure phone calls are redirected accordingly

b. Greet guests in a professional, friendly, hospitable manner

c. Received, sorts and forwards incoming mail.

d. Coordinates the pick-up and delivery of express mail services (FedEx,

UPS, etc.)

3. Provides administrative and routine support for facilities operations:

a. Manage the ordering, receiving, stocking and distribution of office

supplies.

b. Ensures facilities are maintained in an orderly, clean and professional

appearance including conference rooms, break-rooms, reception area, common

areas, etc.

c. May also assist with other related clerical duties such as photocopying,
