The right Payroll Coordinator checklist will include equal parts curious learner, innovator, administrator, detail driver, mentor, and motivator.

The Payroll Coordinator position is an hourly non-exempt position in the Human Resources Department. Under general supervision this position performs a variety of routine to complex administrative technical and professional work related to administration of timekeeping, payroll records and data for the company.

Additionally, the ideal candidate will be able to display and live outLead with Love qualities, strongly rooted in the Dollywood Company culture, by being patient, kind, trusting, unselfish, truthful, forgiving, dedicated and accountable.

Summary of Essential Functions and Responsibilities

Maintain government and company policy compliance of payroll and timekeeping records for all Hosts at all Dollywood Company properties.

Proactively coordinate the timecard and payroll processing of over 3000 Host records by working closely with department leaders. This includes but is not limited to building relationships, maintaining regular contact, creating processes, training those involved, and holding leaders accountable for compliance.

Ensure that all time cards are approved by the established deadline.

Collect and process payroll adjustments including premiums, missed pay, retro pay, non-discretionary bonus, incentives and terminated Host PTO payout by the established deadline.

Run weekly audit reports and make corrections by the established deadline.

Serve as liaison between all Dollywood property leaders and Hosts and Herschend Property Support Center Payroll. This includes written, verbal, and face-to-face contact.

Complete Contract Labor Reports by Monday Afternoon.

Correct system errors that interfere with proper payment processing.

Correct direct deposit enrollments or pre-note errors.

Enter new Direct Deposits and W-4's

Set up Rapid! Paycards and input the Direct Deposit information into Hosts profile

Collect, track, audit, and correct Payroll Exception Forms for missed punches or timecard changes.

Serve as champion on the UKG (Ultimate Kronos Group) project implementation team including upgrades, recommend system and procedural modifications, rollout to end users.

Track and process historical time corrections.

Identify timekeeping or payroll problems, re-train, and hold leaders accountable for compliance.

Maintain annual W-2s returned by mail and make contact with Hosts to distribute. Request W-2 reprints.

Assist and complete New Hire Orientation Activations along with New Hire Orientation File Audits

Complete Clearances for Contract Labor Hosts

Maintain strict confidentiality and judgment at all times regarding privileged information.

Perform routine office functions. Keep work area clean and safe.

Assist with all HR-sponsored Host events.

Management reserves the right to change and/or add to these duties at any time

Education and Experience Required

Minimum 18 years of age.

High school diploma or equivalent with at least two years office or administrative experience in a high-volume setting required.

Previous payroll experience preferred.

Proficiently type 25 wpm with ability to compose and structure reports.

Proven proficiency in computer software including but not limited to Microsoft Office (Excel, Word, Outlook), G-Suite, ad hoc reporting, and online products.

Ability to obtain Notary Commission within thirty (30) days of hire.

Experience with Kronos Workforce Dimensions or other timekeeping system preferred.

Experience with various paper and electronic filing systems.

Must successfully complete a pre-employment background check.

Able to maintain dependable work attendance and flexibility with assigned work schedules including any required overtime, evenings, weekends and holidays. Typical work week includes Monday evenings and some Saturdays
