What you’ll do

The Design Studio Coordinator is responsible for the administrative support for Design Studio staff including, but not limited to, generating reports, ordering product, invoice processing, processing buyers files, and ensuring a smooth flow of paperwork to the field

The Coordinator will also assist Design Studio staff and buyers in scheduling appointments and provide information to new and prospective buyers.

Greet homebuyers, notify Design Staff of appointment or visitor arrival

Contact buyers to schedule all Design Studio appointments

Keep buyer contact log and input Design appointment dates into JDE

Provide support to Design Team: filing, typing memos and correspondence

Copy, collate and/or file documents

Assist in verifying Design Studio Coordinator’s paperwork

Assists Design Staff in data entry of buyer selections

Process files and generates paperwork for the field

Assist in creating Design diagrams and presentations, (Power Point and or AutoCAD experience a plus)

Assist Design team with maintaining appearance of Design Studio showroom

Assist in Preview Nights: Greeting buyers, help maintain preview night brochures, buyer check in sheet and price lists, etc.

Resolve issues with homebuyers, either in-person or on the telephone

Review, distribute and/or act upon incoming departmental mail

Act as liaison between field personnel and Design studio by answering questions from builders, sales consultants, and vendors promptly

Participate in staff meetings - type meeting notes, set up and maintains buyers’ files and assist in keeping product reference information current

Help keep Design showroom clean and stocked with beverages, snacks and office supplies

May be called upon to conduct a design appointment

What you bring

Minimum of two (2) years Customer Service experience

Minimum of two (2) years of general office experience

Intermediate level of computer skills and system knowledge; ability to input and manipulate data in Microsoft Office Suite

Proficient in Excel

Experience with Power Point and/or AutoCAD or similar programs preferred.

Proficiency in Math; Accounting experience preferred for Senior Administrator position

General office experience preferred

Outstanding Interpersonal and Customer Service skills, and a high degree of professionalism

Strong written/verbal communication skills to include a clear and professional phone voice.

Ability to communicate effectively with confidence and professionalism

Frequent contact with new homebuyers, subcontractors, vendors and employees at all levels of the organization

Team player; with demonstrated ability to work within cross-functional teams, in a support role

Accurate; with keen attention to detail in every aspect of the job

Self-directed; takes initiative, proactively addresses problems; can work independently with minimal oversight

Highly organized with the ability to prioritize projects and meet deadlines, with multiple interruptions

Bachelor’s degree preferred, not required
