Primary Purpose

The Senior Executive Assistant & Director Strategic Initiatives will provide high-level administrative support. and report directly to the CEO Veridix AI, The Senior Executive Assistant & Director Strategic Initiatives provides executive support and leads strategic initiatives and projects in a one-on-one working relationship. This position serves as a liaison to other senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Senior Executive Assistant & Director Strategic Initiatives must be creative and enjoy working within a global environment. The Incumbent will have the ability to exercise independent judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Responsibilities:

Support and lead project coordination including large-scale meetings, calendaring, and logistics for the CEO.

Finds ways to improve personal administrative processes.

Organize and prioritize communications from internal and external stakeholders.

Spearhead special projects as needed including complex global initiatives.

Support and coordinate due diligence and integration activities.

Assists teams with timely completion/deadlines and approaches to increase productivity.

Maintain and update administrative databases, records, correspondence.

Collaborate with Human Resources and Executive Leadership team in developing company culture.

Independently build and maintain relationships with leaders internal and external to the organization to effectively manage and support the CEO's daily schedule.

Constantly iterate and advance internal processes to optimize daily operations for the leadership team and organization at large.

Organize and prepare materials in advance of meetings, maintain files and record keeping systems with confidentiality.

Prepares systems to track workflow and responsibilities.

Responsible for meeting administration including preparation of agenda, presentations, and minutes.

Work as a key thought partner and strategic gatekeeper to help increase productivity

Confidently participates in online meetings/video calls.

Researches and recommends suppliers/vendors.

Formats and proof-reads documents.

Awareness of staff morale.

Performs other duties as assigned.

Qualifications:

Bachelor's degree preferred.

10+ years of related experience required in working in a fast-paced environment supporting senior executives.

Good judgement, resourceful, problem solving, critical thinking, diplomacy and negotiation skills

Must maintain the highest level of confidentiality

Higher level communication skills and interpersonal and organizational skills

Foresight, anticipation, and initiative

Digital fluency across a wide range of platforms

Data analysis

Project/event management

Mentor/Coach

Understanding of the organization and executive(s)’s objectives, goals and KPIs

Resilience and stress tolerance

Ability to delegate tasks

Office co-ordination/management
