Job Description

Job Purpose:

The Administrative Assistant provides administrative support to members of the SLT (Senior Leadership Team). This position also provides support to other individuals within the organization and other departments as needed by ordering supplies, meeting logistics, and more.

Position Responsibilities:

Organize calendars and schedule appointments/occasionally take and distribute minutes.

Assist in the preparation of contracts, quotes, correspondence, spreadsheets, PowerPoint presentations, etc.

Make travel arrangements (airline/hotel/car rental) via corporate travel site.

Prepare and submit travel expense reports within company guidelines.

Process invoice payments for various departments determining the proper method of payment per company policy.

Perform monthly reconciliation of credit card payments to include allocation to the proper cost center.

Assist in management of reservation requests from employees, customers, vendors, etc. for cottage rooms, meetings/events, golf, etc. Validate and process payment of monthly statements, ensuring allocation to the proper cost centers.

Other duties as necessary

Skills/Qualifications:

Proven experience as an Administrative Assistant or similar role

Proficiency in MS Office (Word, Excel and PowerPoint, Outlook

Excellent time management skills and ability to prioritize work

Attention to detail and problem solving skills

Excellent written and verbal communication skills
