Administration

ƒ Maintain various agreements, documents, forms and formats as per pre-defined formats.

ƒ Maintenance of attendance records and notifying the concerned authorities

ƒ Providing support to other departments and managers.

ƒ Ensure that quality and cost control is maintained in all departments.

ƒ Ensure clean office environment.

ƒ Take initiative in manager's absence

ƒ Maintain procedures manual to ensure consistent performance of routines

ƒ Arrange essential mail in priority action order for superior

ƒ Check deadlines on incoming requests and put preliminary work in play

ƒ Do phone surveys/inquiries as needed

ƒ Routinely re-order department supplies

ƒ Update mail/phone directories

ƒ Office supplies are made available to trainees as per the guidelines

2. Information Management

ƒ Providing support to other departments and managers.

ƒ Providing document management

ƒ Providing telecommunication management.

3. Manage Office Equipment

ƒ Maintain cleanliness of office premise and equipment.

ƒ Ensure that amenities are provided for staff working on night shifts and after office hours as per company policy

ƒ Maintain Office Library and keep inventory and stock of the books and material (with appropriate original library software)

ƒ Maintainence of Office equipment is done as per schedule, contracts are reviewed and renewed as required. ƒ Record keeping of stationary and providing the same.

4. Visitors ƒ Screen to control interruptions

ƒ Arrange amenities as needed

ƒ Facilitate travel schedules and make travel arrangements for the employees by coordinating with travel agents and employees.

5. Travel

ƒ Arrange travel through internal or external agencies as required through accountant

ƒ Arrange travel cash in advance through accountant

ƒ Prepare itinerary file and supplies required for travel (e.g Travel card, laptop, other equipment as required)

ƒ Prepare expense report for employees with due input from employye

ƒ Complete expense reports after trip
