Responsibilities

RTI International is seeking Administrative Assistant candidates for the USAID/Laos Higher Education for Accelerated Development Project (LEAD)—that will be implemented through September 2027. The project office and staff will be based out of Vientiane, Laos. LEAD intends to improve access in Laos to high-quality, market-relevant higher education that supports socio-economic development in Laos. It will do so by concurrently strengthening the capacity of Higher Education Institutions (HEIs), helping these institutions modernize their academic programs, and advancing 21st-century skills

Essential Duties:

Support to ensure the efficient operation of the office:

Coordinate to ensure constant and adequate availability of office consumables, stationery and supplies, ensure a functioning system for requests for supplies for trainings and other implementation activities to ensure timely delivery of training supplies etc.

Ensure timely reporting on stock status to program implementation staff and support stock replenishment as needed.

Help coordinate all logistical support for staff and consultants, including transport and other travel requirements, hotel accommodations, conference bookings, etc.

Ensure regular office maintenance and cleaning performed. Supervise the janitorial support services.

Supports Office and Logistics Manager through a variety of tasks:

Answer phone calls coming to the mobile and landline and take note or transfer calls accordingly.

Receive and distribute incoming mail and coordinate outgoing mail including courier services.

Scan, maintain and compile admin and logistics documents including correspondences.

Maintain staff and project partner contact lists (mobile and landline phones, emails, physical addresses).

Help coordinate internal and external meetings and trainings for the Project, including booking venues and refreshments, coordinating invitations and schedules, preparing agenda and taking minutes.

Coordinate office procedures including repairs of office and equipment.

Assists management and program staff in other administrative services as assigned. \

Perform program-related tasks assigned by COP and DCOP

Qualifications

High School complete or vocational training and at least 1 years’ experience in an administrative related capacity.

Skills & Abilities

Below are skills and abilities required to perform the essential duties of this job.

Proficient in MS Word, Outlook, PowerPoint, Excel;

Sound judgement and able to handle sensitive information in a confidential manner;

Ability to work with minor supervision and ability to work under deadlines;

Excellent communications skills, interpersonal skills and ability to work effectively with others;

Respect for cultural diversity;

Self-motivated and proven ability to take initiative;

Demonstrated ability to communicate effectively in English, both verbally and in writing. Fluency in Laotian required;

Attention to detail and accuracy;

Experience in working on projects with international donors is preferred.
