Reports to:Chief Executive Officer - Bullish Gibraltar

Roles & Responsibilities:

Coordinate office activities and operations to secure efficiency and compliance to company policies.

Coordinate with contractors and office building management.

Check and ensure there is an appropriate level of office supplies (e.g. stationeries, cleaning, and kitchen supplies) as needed to avoid interruptions in standard office front office procedures.

Coordinate with the corporate secretary to ensure that business permits, and registrations are renewed properly and timely.

Assist in on-boarding new hires and assist colleagues whenever there is an opportunity to do so.

Obtain and maintain proper office and financial records.

Assist in producing legal documents, certificates and signatures for different internal and external requests.

Support treasury and FC in onboarding with new banks or new additions to existing banks.

Support the Procurement team and vendors.

Seek ways to improve the procurement process.

Arrange travel and accommodation for personnel travelling to and from Gibraltar.

Assist CEO and Director or any other staff members (specially new hires) in ad hoc tasks as required.

Support bookkeeping and Accounts Payable (invoice, payment) procedures.

Verify financial data for use in maintaining records ensuring transactions have sufficient supporting evidence.

Ensure vendors are approved and payment details are verified.

Collate data for client balance confirmation requests.

Assist in other day-to-day and month-end Financial Control tasks including journals posting, financial reporting (e.g. board packs, regulatory returns, financial statements), finance email monitoring, and responding to suppliers and colleagues promptly.

Assist with IT related matters including device set-up, liaison, and security (keys and fobs).

Experience & Qualifications:

Business administration, Office Administration or similar degree is highly sought.

Experience in office administration role (at least 2 years).

Experience in bookkeeping i.e. invoice processing or similar role.

Experience or exposure in accounting role or tasks is desirable.

Full or part AAT qualified or studying towards AAT qualification is highly sought.
