The Department of Black Studies at Georgetown University provides a vital and innovative interdisciplinary course of research, study, and learning. The department offers both a major and minor in Black Studies, and encourages students to engage in advanced level research projects away from Georgetown University.

Job Overview

The Department Administrator (DA) assumes independent management of the operations for the Department of Black Studies within the College of Arts and Sciences and provides direct support to the Chair of the Department. They schedule meetings, manage events, maintain records of departmental space and liaise with other units on the department’s behalf; create and enter course schedules for all semesters and maintains records of course offerings, majors and minors; and edit the academic bulletin, maintain departmental records, conduct analysis and provide reports to the Chair, Dean’s Office and others upon request.

They also manage the financial operations within the units including but not limited to budget management, payroll reconciliation, purchasing and accounts payable matters, faculty research account management, and grant support.

As well, they oversee the human resources and faculty appointment processes to provide day-to-day support and ensure the continuity of faculty, staff and students working within the units; and support various personnel activities - for example, recruitment, onboarding, annual reviews, policy compliance, and terminations.

Duties include but are not limited to:

Managing administrative hiring processes for new faculty, including adjuncts, tenure-line and non-tenure line positions

Managing and providing support to the department for budget functions including (but not limited to): contracts management, ProCard allocation and reconciliation, cost center reconciliation and review - and expenses, journals, and other business processes that are requested

Hiring and managing student employees and processing their payroll

Updating web content, including department’s calendar events, website and social media platforms

Work Interactions and Work Mode Designation

Reporting directly to the Chair of the Department of Black Studies, with a dotted line to a designee within the Dean’s Office, the Department Administrator serves as primary supervisor of all student staff and provides support to faculty within the department.

They frequently interact with the Dean’s Office, Provost’s Office, Registrar, University Information Services, Office of Global Services, and other partner offices; and maintain professional, cordial working relationships with all members of the department and with all others who visit and conduct business with the department in support of the research, instructional and service missions of the units.

Requirements and Qualifications

Bachelor’s degree

At least 3 years’ progressive work experience in administration – preference for that experience in higher education institutions

Demonstrated skill in administrative management and operations

Understanding and knowledge of current software and financial management tools

Ability to learn quickly and be resourceful

Intermediate to advanced skills in MS Word and Excel

Ability to learn to use different content management systems, such as Google web forms and web content management systems

Excellent oral and written communication skills

A team player

Skilled and successful at prioritizing work and multi-tasking to meet deadlines

Detail oriented and flexible

Committed to punctuality, since this position serves as the primary point of contact and is responsible for opening and closing the office

Preferred qualification

CourseLeaf, Cognos and Workday (Georgetown Management System) system experience
