Department Environment:

The Mutual Fund Transfer Agent is a tight group of talented individuals that represent the ‘Front Line’ of Client Support and Financial Recordkeeping of Account Positions. Technicians are responsible for completing multiple recurring tasks across the customer base, as well as provide Support to incoming Shareholders and Service Partners by answering Client and General Telephone Lines. The group is a key component in the day-to-day operations of our Fund Clients and provides critical data and information to both internal and external groups.

The ideal ‘Cash Mgt Admin’ has solid QuickBooks experience and a background in banking and money movement, is eager to learn, has a strong focus on detail and organization, enjoys a fast paced, team-oriented unit and can manage multiple tasks as assigned by the TA Manager.

Job Support:

The TA Cash Mgt Admin will be introduced to other internal units to better understand the overall process and will be provided with Policy and Procedure documentation that outline the operation.

The TA Cash Mgt Admin will observe department events by shadowing current staff activity and will be trained in general Mutual Fund knowledge.

The TA Cash Mgt Admin will be provided with a professional workstation with Network PC, Telephone and Web Access.

The TA Cash Mgt Admin will gain access to QuickBooks software, the recordkeeping database of Fund Company accounts, as well as the Microsoft Office suite of applications.

Cross training and internal growth are supported and encouraged, and this role includes the potential for remote opportunity (with Management approval).

Essential Objectives:

The primary role of the TA Cash Mgt Admin is managing the daily financial transaction workflow processing and the maintenance of the various data elements and the coordination of that activity with other critical sources.

This includes both internal and external account reconciliation of money movement, and the daily production and control of settlement reports and records output.

The TA Cash Mgt Admin will also manage the delivery of a standard reporting set (monthly, quarterly etc) required by our industry regulations.

Finally, the Cash Mgt Admin will act as liaison for other internal Operations units as well as a point of contact for external service partners to provide consistent data analytics.

The TA Cash Mgt Admin plays a critical role in the Operations unit and will be expected to review and provide policy and procedure documentation on standard and out-of-standard workflow situations as observed.

Additional Functions and Duties:

Assist Transfer Agent Management in training new employees, act as a resource for internal orientation and update policy and procedures as needed.

Act as SME (subject matter expert) and look to improve and advance efficiencies in operations and workflow company wide.

May be assigned as a business analyst or task lead in various process improvement or system upgrade projects, working with internal units or in conjunction with outside Service Partners and vendor relationships.

Occasionally may be added to cover call center telephones when volumes or events demand additional support.

Participate in Transfer Agent data projects as directed by the Manager to satisfy a client or service partner out of scope deliverable.

Participate in or contribute to Operations Group meetings as directed by the Transfer Agent Manager.

Other Data Control Support duties may be assigned as needed.

Immediate Supervision Received: Transfer Agent Operations Manager

Supervision Given: N/A; however, a backup Admin will be selected, and training will be necessary to ensure a transparent operation.

Qualifications:

A. Education/Training:

§ Bachelor of Science degree strongly preferred, preferably in Business Administration or Finance.

B. Work Experience:

§ 2-3 years of experience in financial service and customer/partner relationship management.

§ Experience with ‘back office’ banking and reconciliation maintenance.

§ Experience with mutual funds, securities, brokerages, wealth management and accounting principles helpful.

§ Strong knowledge and practical experience using QBO (QuickBooks Online)

Knowledge, Skills and Abilities Required:

§ Excellent verbal and communication skills.

§ Strong data analysis skill set with eye for detail and organization.

§ Strong interpersonal skills to handle confidential or sensitive situations.

§ Proven independent administrative work ethic and task management.

§ ‘Head Down’ focus on repetitive mechanics with the goal for a ‘zero’ daily balance.

§ Ability to function in a staffed office environment and manage a dynamic workload.
