Tax Administrative Assistant

A Silicon Valley-based public accounting firm seeking a dependable and experienced administrative assistant to fill a full-time staff position in our expanding practice. Candidates must be computer literate and highly organized with excellent written and oral communication skills. Successful candidates will have a positive attitude, the ability to adapt, and previous experience at an accounting or CPA firm.

This position is full-time with some overtime expected during tax season.

Essential Duties & Responsibilities:

Provide high-level support to staff personnel and partners

Prepare written client correspondence as requested

Assemble and review final tax returns and financial statement packages before delivery to client

In-take tax documents and complete new client setups per firm protocol

Organize, scan, and file client documents per firm protocol

Bulk mail yearly organizers

Handle checks and credit card payments over the phone

Receptionist duties – answer/transfer calls on a multi-line phone system, greet and assist visitors politely and professionally, schedule client appointments as necessary

Maintain professional appearance of office common areas.

Order office supplies as needed

Additional duties as assigned

Knowledge, Skills, and Other Abilities:

Excellent time management skills

Sense of urgency and completion of core duties and tasks assigned

Ability to work independently with a high degree of initiative, discretion, and confidentiality

Effective communication both written and verbal

Qualifications/Experience

High school diploma or equivalent required

Minimum 5-7 years of administrative experience at an accounting or CPA firm

Proficiency in Microsoft Office, Word, Excel, Outlook and Adobe PDF

Knowledge of QuickBooks Accounting Software is a plus

Knowledge of the Lacerte Tax program is a plusCompany Description
