HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:

Working in a discreet environment handling sensitive and personal information daily

Completing transactional duties with special attention to detail, being organized, and multi-tasking

Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant II, your day-to-day responsibilities will include:

The AA will provide office assistance to the Dispatch branch comprised of 5-6 people, operating from the Center's Motor pool

Work is typically performed in an office environment, requiring the use of computer terminals and standard office equipment to accomplish work objectives

The AA work is performed under general supervision, with some latitude to exercise independent judgment to complete tasks

S/he will adhere to Sponsor regulations, policies, and procedures to ensure all activities are in compliance; seeking staff guidance on acceptable deviations and adapt activities as appropriate

Majority of the taskings are transactional but professional phone etiquette is required

S/he will work mostly behind the scene, with minimal direct interactions with TSC customers

S/he should have planning and organizational skills to systematically coordinate, track, and complete work flow activities

The AA will use various communication types, to include Skype and emails

S/he should have intermediate knowledge of Microsoft Office Suite applications (Word, Excel, PowerPoint, etc.)

S/he may be asked to assist with preparing presentation slides for Dispatch management

No heavy lifting requirements will be required in this position. No travel requirements and will operate primarily from one (1) building

The AA is expected to have intermediate knowledge of core Microsoft Office programs prior to arrival

S/he must be willing/able to learn Sponsor's specific databases ranging from access requests, travel, SharePoint, and Sponsor Fleet Services requests

Prior Sponsor experience is a plus but not required

Sponsor will provide on-site training will have no supervisory role

Assist Dispatch management with production/distribution of workforce notices; such as announcement of upcoming meetings, safety protocols, new/renewed office policies

S/he will initiate and monitor check-in/out procedures for Dispatch personnel, including submitting new user accounts and access requests

S/he will greet and/or escort all office visitors

Maintain and update assignment-specific databases or spreadsheets

The AA will coordinate, maintain, and tabulate metrics for Sponsor's various shuttle programs

This include the process to gather/tabulate/organize various handwritten metrics sheets completed by shuttle drivers

S/he is expected to utilize Excel and Sponsor's database application for this tasking

The AA will assist Dispatch management with up keeping phone/contact list of the drivers and shuttles

S/he will work with various Sponsor's components to refresh TSC work mobile equipment and respective accounts

The AA will serve as the primary coordinator between Dispatch and Fleet branches for Dispatch vehicle maintenance matters

S/he will work with dispatchers to submit service tickets and track progress

S/he will maintain detailed logs on status and location of both vehicle and respective keys

Assist Dispatch management with the upkeep and processing of the internal award program

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active Top Secret/SCI with Polygraph clearance

HS Diploma and 2 years of relevant experience or equivalent combination of education and experience

TSC Dispatch office operates from 0400-1900; this AA position is expected to work 0700-1530 (0800-1630 is also an option)

Proficient Word, Excel, Outlook, PowerPoint

The position is on customer site
