Schedule: Monday - Friday 8:00am - 4:30pm

Location: Amherst

Position Summary: Under manager’s support, is responsible for initiating and coordinating the clerical and secretarial functions required in effective implementation of patient care and provider services for the patients in the Vestibular Lab.

Responsibilities of Position:

Prepares and maintains assigned provider’s and lab schedule, including other activities including agendas for staff and other meetings, keeping manager and provider informed of all changes as needed.

Call patients PCP and/or referring MD office for audiogram test results

Process all Posturography reports while occasionally assist with rotary chair and posturography testing

Checks insurance to make sure it is eligible for the specific appointment and lists the correct benefits.

Prepares scheduled and incoming patients charts

Obtain prior authorization for testing, coordinating with appropriate ancillary service department staff.

Provides support by scanning, reviewing, sorting, mailing and updating all department documents and forms while ensuring copies are always available to staff

Answers all calls pertinent to assigned area, directing clinical calls to appropriate staff.

Responds appropriately to physician’s office inquiries, providing accurate and detailed information.

Attend D & B rounds when scheduled

Verifies patient demographics including name, address, date-of-birth, phone number, primary and referring physician and current insurance, and obtains patient consent to treat to ensure accurate billing. Assists patients with various Dent forms, and obtains insurance waiver signatures as necessary.

Processes appropriate forms, and copies insurance card information, checking for current referrals, to ensure accurate billing and medical record information.

Complies with quality assurance, HIPPA, customer focus, infection control, safety and other policies set forth.

Prepares, verifies and prioritizes items requiring action including but not limited to correspondence, diagnostic testing, and outside consultations.

Reports errors or problems so that appropriate action may be taken for patient care.

Ensures that department has necessary medical and office supplies to function in their duties.

Completes scheduling and clerical duties in a time efficient manner as set forth by the office manager.

Maintains confidentiality of patient information in accordance with all HIPAA regulations.

Interacts and cooperates with physicians and other health care professionals in assurance of accurate medical record content for physicians’ review.

Represents the Dent by displaying a respectful and caring manner with patients and their families.

Interacts calmly, respectfully and in a friendly manner with other representatives of services at the Dent.

Other duties as assigned and requested by Department Manager.

Skills & Experience Necessary:

General office skills, including typing skills.

Strong planning, problem solving, organizational, verbal and written communication and interpersonal skills.

Working knowledge of general office equipment including fax and copy machines, multi-line phone system, and personal computers.

Working proficiency with Microsoft Excel and Word programs.

Ability to address and resolve conflict in a professional manner.

Ability to maintain strict confidentiality.

Ability to be flexible.

High degree of communication and interpersonal skills, both verbal and written in interactions with others.

Required Education

Associates Degree and 2 years related experience or High School Diploma and 3 years related experience in a clinical setting.

Compensation:

Most candidates will start within the first quartile of the pay range

Rates are commensurate with experience
