SWP is dedicated to providing industry-leading financial plans to safeguard clients and their families, strengthen clients’ businesses, and preserve and enhance clients’ estates. SWP is perfect for a driven, self-starter who enjoys working in a small firm setting.

Purpose/Summary: Client-facing individual contributor primarily responsible for administrative function and activities in boutique financial services firm who also performs high-level administrative support for CEO and office staff, anticipates needs, plans, and manages time efficiently.

Description of Duties*

Greet guests and answer phone calls.

Safeguard confidential and sensitive information.

Track and help drive completion of key deliverables and follow up on outstanding items.

Maintain Salesforce contacts database.

Manage complex calendar and scheduling requirements.

Proactively coordinate and engage with leadership in planning and organizing events and meetings.

Maintain electronic and physical office and client files and implement system for secure storage and efficient access.

Coordinate travel.

Communicate with insurance and investment companies to obtain client data.

Maintain compliance logs.

Manage client correspondence and quarterly reports.

Maintain inventory of office supplies and order supplies as needed.

Assist in writing and distributing company blog and newsletter.

Transcribe correspondence and meeting notes.

Manage client touch programs.

Client file maintenance.

Open and fund new brokerage accounts.

Summary of Qualifications

High school diploma or equivalent required.

Associate’s degree in office administration preferred.

5 years of administrative support with 3 in the financial services industry preferred.

Proficient with Microsoft Office applications.

Knowledge of Salesforce preferred.

Ability to handle confidential information with discretion.

Excellent written and verbal communication skills.

Excellent organizational and time management skills, attention to detail, and proven ability to meet deadlines.

Ability to interact professionally with clients, associates, vendors, etc.

Life and Health insurance and/or securities licenses are a plus.
